Managing new/used stock

Hello. Am currently evaluating switching our business to BC.

We have a stock of parts where each part number might consist of some new items, some secondhand items, and even one DO NOT SELL original reference item (these are classic car parts, and we never sell the last original part).

I was wondering if BC has a way to keep track of what we've got, and even different selling prices. I love that I'd be able to keep track of multiple vendors with different prices and lead times.

  • Only count new stock that's for sale, unless only secondhand available in which case only count that. This is what we do now, given limitations of existing stock control, so we don't really know how much of everything we actually have without going to look on the shelves.
  • Make duplicate part numbers for new/old/not-for-sale items.
  • Use variants, but as far as I can tell physical quantities at a glance are always reports as a total of all variants, i.e. there isn't a convenient way to see how many are for sale in each category, particularly whilst making a sales quote/order/invoice whilst on the phone to a customer.
  • Use different virtual warehouse locations (Warehouse New, Warehouse Secondhand etc) but then prices are harder to differentiate, and again stock at a glance is just a total of all warehouses in my limited experience.

Any other suggestions? Obviously I'll talk to our potential partner about this and get some examples of what they suggest, but can't help to hear other views.

    RE: Managing new/used stock

You’ve considered majority of the options.

Variant wise there is a “Variant Filter” which can be used to manipulate the inventory calculation in reports and on list pages. Users can also select at a glance query pages such as item availability by variant. Quick views on sales documents are available. I like the variant option as it minimises the amount of item master data in the item table. The best views with variants can be seen with fashion/apparel solutions as they present a matrix view. Generally because of the colour and size making a lot of variants to 1 item. Due to that I would take a leaf out of their book as it were. Some apps on appsource if this sounds appealing even if it’s not geared towards your industry focus.

The location method has some mileage as users can use a “Location Filter” on the item table. Similar to the variants. So on a sales document I could use item availability by location. I can then select the location from this view.
