Custom Email-Template Categories?

Hi all,

iam currently facing the following situation:

We have about 120 Email Templates that have to be used to send emails regarding service cases. The email templates can be logically categorized by the case subject-structure. One case subject can potentially lead to one of many (lets say up to five) possible email templates.

When addind an email acitivity to a case, choosing the right template is really awkward because one have to scroll down dozens of different Templates. 

Is there a key concept iam missing here or do you know an elegant solution for that issue?

    Since Email Template is an entity, you should have been able to add custom reference to it in another custom entity, but it is locked from CRM UI .For populating  entity template that you need you might have to write custom code to fetch them based on names etc.

    thanks for your fast relpy.

    As i cannot add new relationships to neither the email template entity nor the subject entity, the only way i see is a custom approach.

    That would be a custom entity (subjecttemplates) which serves as a pseudo (no supported) relationship between one subject and one to many email templates. A custom control on the email form is needed which prefilters the  subjecttemplates based on the cases subject (the case which is associated to the email). When choosing an email template from that list, a action is called via javascript hat instantiates the email template based on the case (both entityreferences as input parametes), returns the generated email body and sets it as content for the email activity.

    but that seems to be really dirty .. therefore iam looking for another approach.

    could you share some details about your idea? Is der a possibility to set the email template that have to be used for an email via javascript so that i could avoid the serverside coding?

    Here is the server side way :

    This will be too large for javascript(client side) to handle, you can trigger a custom workflow from javascript which does what you need.
