Uploading Contacts to Multiple Accounts with Same Name in CRM

Hi Everyone,

I have a question about uploading contacts, let me describe the issue I'm having.

So I have about 40 sales people that I have to upload accounts and contacts for into CRM. The way the CRM is set up the sales people cannot see each others accounts or contacts unless they share it with another sales person. This is meant to breed competition within the sales team.

My issue is with the import tool, I'm about 8 sales people deep right now in the uploads of the initial data we'd like to have in the system for them upon launch. For each sales person we have 1 account sheet and 1 contact sheet, the contacts are tied to the parent accounts on the account sheet.

I'm getting to the point now where accounts are now being entered in multiple times, for example Sales Person 1 has XYZ Company as an account that they own, also Sales Person 2 has the same account, spelled the same way that they own. When I import the contacts for Sales Person 1's account it uploads fine. The issue is when I import Sales Person 2's contact for XYZ Company it tells me that "A duplicate lookup reference was found" and it skips the contact and marks it as an error.

A work around that our vendor told us was to deactivate all accounts as I'm going through and then reactivate them when I'm done. I was directed there is a batch deactivate option when I go through the batch delete wizard. The problem is there is no batch reactivate.

Additionally, going forward, if I do another import I cannot batch deactivate all accounts when the system is live.

Ideally I'm looking for a way to set the system to allow for me to import contacts and tie it to the appropriate owner's account. When I go through the import wizard I set the owner to the proper sales person's name.

Thanks in advance.

RE: Uploading Contacts to Multiple Accounts with Same Name in CRM

    Hi Gus,

I'm facing the same problem. But my users don't have the right to import data. So what could be the solution?

    Thanks,

    Noé

Yeah we've created a fake sales account and upload it as that account then reassign the accounts/contacts to the appropriate sales person.

I had the same issue with a customer I work with a couple of months ago. Your approach is correct Sean, you have to import the data while logged in as the Sales Person.

Even if you Deactivated the accounts and Activated them later, the import will still find the accounts and fail, even if they were Inactive!

I solved the issue by importing the data while logged in as each user; this ensured that during the import the correct accounts were selected and also ensured that the owner was configured correctly.

    Good Luck!

The only work around for now I've found is having the sales person upload the contacts. Though this is not ideal it is what we're looking to do for now.
