Payroll - Could Not Open File Error

Posted on by Microsoft Employee

We're on GP2010 SP4 and have been getting this error during the payroll post checks process on and off for over two years now with no resolution in sight.  It happens very randomly, sometimes we can go six pay periods with no issues and sometimes we get it every payroll.  Last time we received the error we ran the exact same payroll again with the same user and it went through the second time.  Here's what we have done so far with no success:

1.) Assigned full domain and local admin rights for our Payroll officer.

2.) Granted full read/write/execute rights to root director on both GP server and local workstation.

3.) Ran process monitoring utility and traced the temp file to be written on the local workstation at C:\GP2010\Data.  Created a virus protection exemption to ignore the directory.  Specifically added access rights to that directory for the Payroll officer.

4.) Turned off virus protection during payroll runs.  Eventually completely uninstalled virus protection from the system.

5.) Opened a ticket directly with Microsoft.  We got to a point that we were told the problem needs to be reproducible to diagnose further.  The problem unfortunately is not reproducible.

The main issue we are having besides having to rerun the entire payroll process when we get the error is that the check numbers increment and we lose the original check numbers that get issued for that particular payroll run.

Thank you in advance for any suggestions you may have.

That sounds like a very likely culprit.  Good luck!

Thanks, I'll take a look at the CPWT script.  We're back to the theory that the virus scanner is locking the temp payroll file for a scan.  Initially the workstation had two programs running Malwarebytes and Microsoft's Endpoint Protection.  We uninstalled both but MEP keeps reinstalling itself.  We disabled it right before running the last payroll and did not receive the error.  We'll try it again in two weeks for the next payroll and I''ll post an update.

Also, be sure to make a SQL backup of the company database right before starting the Print Checks process.  That way if you get the error during Printing/Posting, you can restore back to that point.  A good practice (if time allows) is to prep everything, Build, Calculate, verify the reports one day, then have an overnight backup and run the payroll first thing next morning.  That way you can avoid wasting your check stock if it is pre-printed.

have you tried running the Clear Payroll Work tables scripts periodically? There are instructions in there to clear out some temp files in the local workstation as well.

The screen shot did not post earlier so here's my second attempt.

The error message is "Could not open file .\4eae3017-b5db-45fe-8ad2-a7df450ce947.dat" during the Post Payroll Checks process.  It's a temp file that is being written to local workstation at C:\GP2010\Data and the random file name changes each time.
