Check the sent items box, or to be sent emails in dynamics crm

I have a user, that has records of emails in CRM and its a mess.

I need to see his email outbox.

He has been recording emails into the system as emails. Then clicking send even though his mailbox wasnt active. I want to avoid having to recreate the data entries, and I would like toactivate his email systems on he CRM.

Will those pending or not able to be sent emails go once I activate his account.

Will they just sit there as a record and he can email from within the CRM forevermore?

You have gone to the All emails view in CRM, and filtered on the user's name? (or My emails if you're just looking over your user's shoulder)  It sounds as if you have, and found that there are several emails sitting there in 'Pending' status.

Yes is the answer to your question.  If they are 'Pending' in CRM and you activate email for him, the emails should then send.

Once they are sent everything should then work as expected for new emails.  The historical emails will continue to sit in CRM as a record of being a closed activity/ sent email.

Try to configure email router. And select/filter the pending status email of that user and check it.

Sales or Service>Activities>then change the view that you're looking at.

I found this, Thanks a ton!

    Now another question....

Is there a way to change the status of an email? I would like to keep the email record in the system, however I would like to change the emails status to cancelled or something in order to stop it from sending once I enable server side sync on a users account in the CRM.

You can definitely set it to 'failed'.  I'm not sure about 'cancelled'.  I expect so - you can for most if not all other activity types.

I'd create a simple workflow to change the Status that was able to be run manually by yourself.

Then bring up the list view of emails  (like you've just done), select those you want to stop going out and then run your workflow across the selected items.

If I get a chance I'll investigate a bit further and send you some more detailed instructions.

Sorry it's taken a while to get back to you.

You can set them to cancelled.

Create a Workflow (Settings>Customizations>Components>Processes>select New, Workflow on Email entity, click on OK)

Note:  I did read something this morning about emails failing to send (if created before email was set up properly) and how to force them to send later.  But it sounds as if you want to cancel them anyway, so it is unlikely to apply.
