Due Date Flag/indicator change when due date is on or before today

I have a due date of an item and a field "today's date". When that due date is on or before today's date, I have a business rule that sets an due date indicator to YES. My issue is I am having to open the form to get the business rule to run. I need to automatically change when due date is today's date. I can do a one time update to all the past records but I'd like it to be automatic for any future ones so the form does not have to be opened to change. Thanks for any help. (by the way, it wouldn't let me select version 9 but that is what version we are on)

    Hi BritB,

    You could create a view that will show you the records that are due; you don't need a special field for that.

    I have a free managed solution which I use for scenarios very similar to yours. The solution allows allows configuration of views in the system to be polled on a periodic basis, and workflows run on any results

    For your scenario you could configure a view which returns all records with a Due Date today or earlier (which are not yet set due), and run a workflow against all these records to set them Due

    The section with heading "Configuring a Workflow To Run Against Target Records" in this article I wrote to document it is almost identical to your requirement

    thank you for this, bu I could not find a "workflow task" as you designed and nothing about it online to guide me. There were some steps missing in trying to find where you got that screen.
    also, in trying a workflow, I am trying to trigger the workflow on "today's date" which is a calc field and Dynamics doesn't allow that.

    yes, there is a progress tracker to only look at items with a due date on or before today. However in the roll-up, you can't simply do a filter for this.

    Hi BritB

    "Workflow Task" is a custom entity type which is created as part of the managed solution I linked. For it to appear in your system you will need to install the managed solution first which you can download from here
    github.com/.../latest

    You will not find other online documentation about this Workflow Task type because it is not an OOTB type. It is part of the managed solution I created and therefore the only documentation about it is what I have done

    Once it is installed there will be a new type in the system called Workflow Task. It is the type which is used in the managed solution for configuring workflows to periodically be run against a views results. It will not appear in the sitemap unless you add it, but you will be able to create one of these records as per any other record type in the system. Advanced find is usually my go to for creating records of any type. The details for what to enter into the record for configuring the process is what I have detailed in this article (specifically see the section with heading "Configuring a Workflow To Run Against Target Records")

    Hi

    You could create a Custom Workflow Activity(CWA) that quries all the record that are due today but dont have the flag set. Gets all the reocord and updates their flag to yes.

    You can then use this CWA in a Workflow that runs every day to the time you set.

    Please visit the following link to see how you can create a recurring workflow. You could create a recurring workflow that is based on an existing entity like Case or any custome entity and you will have to manually trigger once and then it will carry on working every day or whtever the inerval you set. Or you could create a seperate entity just for scheduled task.
