Purchasing Data Entry - Required Date Importance.

Hello Sir,

 

I am looking forward to learn the importance of "Required Date/Promised Date/Contract Expiration Date" in Purchase Data Entry Window at the time when we create a new PO.

 

Are those date fields help to remind the Purchasing or Stores persons in the GP Hope page in reminder list if the material did not receipt intime or deliveries are due? Is there any use of those fields?

 

 

please advise?

    Contract Expiration Date

    Enter the date that your contract with the vendor expires.

    If you change the contract expiration date, a message will be displayed when one or more line items have a required date that comes after the contract expiration date. If the line item is linked to a sales order, verify the requested ship dates for the sale order line items. If the line item is linked to a manufacturing order, verify the required date for the manufacturing order.

    If you are using Project Accounting, contract expiration dates aren’t used for items that have project information assigned to them.

    Required Date

    Enter the date by which you must receive all the items on the purchase order. This date will be the default required date for each line item on the purchase order. It can be viewed or changed in the Purchasing Item Detail Entry window. The date you enter in this field won't be verified against closed or existing periods.

    If you are using purchase order commitments, purchase orders are not committed if the required date for the items is in a fiscal period or a fiscal year that doesn’t have a budget assigned to the year in the PO Commitments Setup window.

    Promised Date

    Enter the date the vendor promised you would receive the merchandise or services. This date will be the default promised date for each line item on the purchase order. It can be viewed or changed in the Purchasing Item Detail Entry window. The date you enter in this field won't be verified against closed or existing periods. If you change the date after you've saved the purchase order, the last order information in Inventory Control will be updated.

    When you change the promised date for a standard or drop-ship purchase order, an alert message appears asking whether you want to roll down the date change to the line items on the purchase order. If you roll down the date change, the current promised date and the original promised date may be updated. The current promised date is updated for line items with the status of Change Order or Released. If a line item has a status of New or Canceled and doesn't have a release date, the current promised date and the original promised date are updated. You can use the Purchasing Item Detail Entry window to review the date change for line items.

    Many of these date fields are used for Vendor Performance Analysis, i.e., Promised Ship Date + Vendor Lead Time can be compared against actual receipt date to determine if the vendor is meeting their shipping commitments.

    Mr. Frank thanks for ur time and its really very detailed understanding. i was expecting if we enter this "Required Date" so it will also help out to notify  Purchasing people when the date is due to receive the PO items. anyways thanks for ur guide.

    Zee,

    You can use these fields to create reminders using SmartList. The system doesn't automatically generate any reminders, but you can easily create them.
