data import template for fixed assets

Hello Experts,

I'm beginner, I would like to export the historical fixed assets data stored on another software and import them on Business Central. Is there a template to do it, using a configuration package?

    Hi,

    There are three ways to do store the historical data in business central.

    1. Use copy and paste method (use only when you do not have large number of data)

    2. Use Edit in Excel . Refer the below link for more information.

    3. Use Config Package, Select Fixed Asset Journal and select the below field only and then fill your data respectively and import it Config package followed by Applying data the entries will be created in Fixed Asset Journal and post the data.

    a. FA Journal Template

    b. FA Journal Batch

    c. FA Posting Date

    d. Document Type

    e. Document No.

    f. FA No.

    g. Depreciation Book Code

    h. FA Posting Type

    i. Description

    j. Amount

    You will also need a line number for each entry. Acquisition Cost is the FA Posting Type for the cost and it's amount should be positive. Depreciation is the posting type for Accumulated Depreciation and it's amount should be negative.  This makes the assumption that you have setup the depreciation book, the assets, their depreciation specifics. You should also turnoff integration in the depreciation book until you get the historical data imported, then turn the integration back on.

    Oh, and be sure to use the FA Journal not the FA GL Journal.

    Does this procedure create also the opening balance value on G/L?

    If you are posting Opening Balances for G/L  then you can use the below methods to do so.

    1. Use copy and paste method (use only when you do not have large number of data)

    2. Use Edit in Excel . Refer the below link for more information.

    3. Use Config Package, Select General Journal and select the below field only and then fill your data respectively and import it Config package followed by Applying data the entries will be created in General journal and post the data.

    a. Posting Date

    b. Document No

    c. Account Type.

    d. Account No.

    e. Description.

    f. Amount

    Hi, just adding to others’ replies. Before posting the residual value of the fixed asset, you must import the fixed asset data. And the Depreciation Book needs to be set up in advance.

    So, if I understood well, to have the historical opening balance for fixed assets and the details of them on BC I have to do two steps:

    1. import G/L data to have opening balance using, e.g., config package 81 for G/L entries to populate the Balance Sheet FA accounts
    2. import FA journal entries to have data on FA subledgers

    Am I right?

    My doubt now is, how do I record these data on G/L, to have the acquistion cost and the accumulated depreciation values on Balance Sheet?

    is there a way to create GL entries after populate the FA Subledger?

    Hi,

    if you are trying to post FA Acquisition and Depreciation cost should affect the GL accounts as well then go to depreciation book and check mark all the GL integration tab. Refer the below screenshot.

    1. Use General Journal table (81) use config package and choose the below fields.

    Posting Date

    Document No

    Account Type // Choose Fixed Asset as Account Type

    Account No // which will be FA no

    Amount

    Depreciation Book code.

    FA posting Type.

    Gen Posting Type.

    Balance Account Type.

    Balance Account No.

    and then post acquisition and depreciation entries like below.

    2. Also you can calculate Depreciation Automatically by using Calculate Depreciation Batch Job. You can save your time for creating Depreciation entries in the system manually Business central can calculate depreciation once you have acquired your fixed assets.

    Since you have already posted FA Entries which has hit FA ledger entries. So either you reverse the FA Ledger entries and then do the process which is mentioned above
