Stuck with the CRM Workflow

Hello,

i have a form in the portal to input data and also allow upload documents for external user. After submission of the form workflow will kickoff and internal people will review the submission. if they are satisfied they will accept it, otherwise will ask for additional documents from external user. Basically, i want  as soon as they changed file review status to "Need more information" in the workflow and it will send email to that external user. i think to send the email, we need email address for external user.

  • Now question is how can i get the email address and company name for external user when they submit the form? is that something i need to create a lookup field into my custom entity  with contact table?. 
  • how can i send email notification to external user, once our internal user change the file review status to Need more information?
  • how can i get the external email address to setup as recipient in the workflow?
  • How external user can edit his respective submission to upload additional requested documents and let our internal user know file has been resubmitted. (Fyi, for document upload we are using SharePoint)

Note: my solution almost done just looking for above pieces to make adjustment.

    Thanks for your reply. How can I send email notification to external user based on field status changed using business process flow in CRM.do I need to configure email settings at CRM and exchange level?

    Hi,

    Do you have to send the email with workflow?

    Maybe you could consider to achieve this with Power Automate.
