Time sheet workflow with condition

Hi all,

In OOTB time sheet, it always require the workflow, can I set it as auto approval? or even set it as Never? or just never for certain types or certain resource? like the time sheet admin?

Hello,
OOTB Business Central time sheets can’t really be set to “auto-approved/no approval” in the sense of skipping approval completely; Microsoft’s standard flow is that time sheet lines are submitted and then approved/rejected before they can be used, but you can simplify who approves them: in Resources Setup, set Time Sheet by Job Approval = Never if you don’t want project/job responsible persons approving lines, which means approval goes back to the Time Sheet Approver User ID on the Resource Card; you can also assign a Time Sheet Admin. in User Setup, and that user can approve any time sheet. So for certain resources, set their approver to the time sheet admin or another “central” approver; for certain project/job-based approval behavior, use the Time Sheet by Job Approval setting. If you need true automatic approval after submit, that would normally need a workflow/customization/Power Automate/extension, not just a standard setup switch.

you cannot natively set time sheet approvals to "Never" or configure conditional auto-approvals out-of-the-box, as submitted lines fundamentally require an approval step before posting
