Teammember can´t create jobs, invoices and customers. Essentials too expensive.

Hi!

We are a construction company in Sweden and did recently move from Nav -17 to BC cloud. We are 3 economist and 20 project managers. They only have the team member license as the essentials would be too expensive.

The trouble is that they can´t create customers, jobs, and invoices as before because of their license that doesn’t allow to press “new”. We must push the button “new” every time for them. They will never book invoices, just create them.

Our consult didn´t think of this and doesn’t have any solution. Do you guys have any idea?

    The team member license is limited as suggested by other experts here. Microsoft considers it as license fraud if any "ill" workarounds are implemented to overcome this license limitation.

    I will warn against that solution. Any work around you do in code will be considered a breach of the license agreement.

    As long as you do not have a license to perform an operation inside Business Central your do not have license to perform the same operation through another system. That is the essence of the license agreement.

    I understand your concern. As you have mentioned, your team members cannot create customers, jobs, and invoices as before because of their license that doesn't allow them to press "new". It can be a challenge for your team to create invoices if they are unable to create customers and jobs.

    One solution could be to upgrade the license for your team members from the team member license to the essential license. This will enable them to create customers and jobs, and they will not have to depend on others to press the "new" button every time. Although it might be more expensive, it could save your company time and increase productivity in the long run.

    Another option could be to set up workflows that will automatically create customers and jobs based on specific criteria. This could be a customized solution that would require some development work, but it would reduce the dependency on the "new" button.

    Unfortunately, there is no way.

    The Dynamics 365 Business Central Team Members license, not to be confused with Dynamics 365 Team Members license, grants a named user the following rights for their own use only (not for, or on behalf of, others):

    • Read data within Business Central
    • Update existing data and entries in Business Central, such as previously created customer, vendor, or item records. Entries are defined as specific accounting information that, may be updated, such as a due date on customer ledger entries.
    • Approve or reject tasks in all workflows assigned to that user, with the limit that approvals and rejections can only update data in records that Business Central Team Members can access.
    • Create, edit, and delete a sales or purchase quote
    • Create, edit, and delete personal information
    • Edit job time sheets for approval
    • Use the Dynamics 365 Power Apps/Power Automate use rights provided with a Dynamics 365 license
    • Business Central Team Members application module may be customized with maximum 15 additional tables (custom tables or standard Dataverse tables) available to the Business Central Team Members license.

    PS: Access Business Central with your Microsoft 365 license – regardless of whether users have a Business Central license (Collaboration capabilities for Dynamics 365)

    There is no other solution that to purchase a proper license for the users that needs to preform the operations that are not covered by the team member license.
