How to set the remaining inventory to 0 on the SKU inventory?

Goodmorning to you all,

I've got a customer who has 0 physical inventory in all locations and also on the item card.
But the SKU inventory says that it has 3 left.

When i look at the item ledger entries. I see that there is a purchase order with some remaining quantity.

But if i look at the specific order, that order has allready been recieved?
How can i correct this situation, so that the reorder mechanism will work again for this item?

Thanks in advance,

Marcel

    Hi Marcel,

When the item card and physical inventory show zero but the SKU still insists there are 3 units left, it’s usually due to a lingering Remaining Quantity on the item ledger entry that hasn’t been consumed or adjusted. Even if the purchase order is marked as fully received, BC still considers those units available for planning until they’re explicitly cleared.

From your screenshot, it looks like the original receipt posted 4 units, but only 1 has been consumed — leaving 3 units with Remaining Quantity = 3. That’s why the SKU record doesn’t zero out, and the reorder engine stalls.

Here’s how you can cleanly resolve it:

    • Post a Negative Adjustment journal for the same item, location, and variant. Set quantity to -3 and optionally use the Applies-to Entry field to link it directly to the original purchase ledger entry. This will remove the phantom inventory and update the SKU totals.
    • Alternatively, use the Physical Inventory Journal, calculate expected inventory, set Qty. (Phys. Inventory) to 0, and post. This is especially useful if you're reconciling across multiple locations or want to reset values cleanly at month-end.

Once posted, revisit the SKU record — it should now reflect zero, and planning worksheets will resume generating reorder proposals as expected.

    1. Run the “Adjust Cost – Item Entries” batch job to ensure all entries are fully updated.
    2. Then run "Recalculate Inventory" from the Item Card or SKU Page (Actions > Functions).
    3. If the problem remains, open the Reservation Entries or Supply Planning Entries to see if any old reservations or expected receipts are still affecting the SKU.
    4. If needed, create a negative item journal entry at that location to zero out the remaining inventory and post it.

This should reset the quantity and allow the planning engine to suggest new purchases correctly.
