process to automatically assign and change task

(0) ShareShare

Posted on by

I am a casual user of MS CRM, and I need to create a process that assigns a task (Activity) to a different person. The one thing I can't figure out is how to change the subject and description. Here is what I want to do:

I want to hand-off a task to another person. However, the subject should be changed from "XXXX" to "Follow up: XXXX".

In addition, I want to add to the description field, (which could have some information that is pertinent) a line that says "Send reminder"

How do I do that?

    Hi,

You can simply update the subject & description the way you like and save the record. Once saved, you can use Assign button available on the top menu and select the user you want to assign this task.

If you want to Automate this process you can look for dialogs-

    Hope this helps.

    Hi,

You can setup a workflow and update the task, in the workflow you should be able to use Append with operator to add followup. Similarly you can update description field. You can setup a on demand workflow or can setup a automatic workflow based on some trigger.

    you can refer: crmramblingsbysteven.wordpress.com/.../how-to-concatenate-two-fields-using-workflow-in-dynamics-crm-2011

    Hi Mike,

You can assign the task to a different users by selecting the tasks in the view and clicking the Assign button the in command bar.

You can write a workflow to update the subject and description field on assigning a task as shown below.

In the Set Properties window, you can write Followup: appended with the Subject of the task and description as 'Send Reminder' as shown below.

Activate the workflow and try assigning a task to see how it works.

    Hope this helps.

Hi Nithya, thanks for the answer.

I tried that, but when I do what you suggest, I end up with the subject changed to {Subject}Follow up: {Subject}, i.e., the original subject is duplicated. I think that makes sense as you append the text plus the subject line to the original subject line. Ideally I would like to Prepend the "Follow up: " and then have the original subject line. I think I could live with appending something to the original subject line, but it looks like I must append an operator (the subject line you suggested). Is there perhaps an "empty" operator that I can append?

    Hi Mike,

If you just want to prepend the text "Followup:" on the existing subject then you don't need to use append. You can directly write static text "Folloup: " and then use the subject from the operators. Refer below screenshot-

    Hope this helps.

    Hi Mike,

Can you deactivate the workflow, go to the Set Properties in the workflow step and see if it is same as Follow up: {Subject}? If not, change it to this format, activate the workflow and see if it works.

    Hope this helps.
