Email to draft but keep original email text

Hello everyone,

I am new to CRM and have been doing some hand-over with a colleague who has now left.

I have been looking at freeing some space and have read the documentation online.

My question is regarding emails and attachments - I am trying to delete attachments.

I have seen that you have to run a workflow to set status from sent to draft - which we have already.

I then delete the attachment and created another workflow to set status back to sent.

The trouble I have is that the email then loses the original text - is there anyway the workflow can be amended to retain the original text or is that impossible?

For example, it went from:

Dear >firstname<,

Thank you for etc etc etc

To:

Dear >firstname< >lastname<

And then the rest of the email was blank.

Just wondered if anyone knows how to keep the original email text when changing to draft then back to sent (for deleting the attachment).

    I would expect that the email text would be retained, as this shouldn't be changed when the status changes. It may be that you've got either workflows or plugins that run when the status changes, and that is causing the change to the text.

    To check if you have a workflow, go to Settings, Processes, then use the All Processes view and sort/filter on the Primary Entity column to find those that run on the Email entity

    To check if you've any plugins, use the Plugin Registration Tool (in the CRM SDK), or use Advanced Find to search for SDK Message Processing Steps, linked to an SDKMessageFilter, where Primary Object Type Code = Email. There will be a set of system ones where Event Handler is Microsoft.Crm... but there may also be custom ones

    Hi David,

    Thank you and very much appreciate your response. I couldn't find anything in All Processes that looks like it would do that.

    I followed your useful steps to check SDKMessageFilter - there are a number of Microsoft.Crm system ones but not sure which it could be, and I'm assuming I can't click in them as they are system ones?

    My test on an email from 2016 definitely changed it from the full text to just the dear xx as above. If I can't find exactly what is doing this I'll just have to admit defeat.

    There are numerous apps in AppSource that can help stripping attachments (shameless self-promotion, here's the eBECS one: appsource.microsoft.com/.../ebecsltd.8f610108-8f4d-4a60-b732-a50dc973207b;tab=Overview).

    If you have any desire to keep the attachments at all, I'd recommend taking a look at one of those, as it will save you a good bit of work, and you can use it on an ongoing basis.  There are also ones that will save to Azure Storage to get even cheapper storage than SharePoint.
