On the Incident timeline where is the note activity stored

Posted on by 437

In an advanced search on the Activity table, I see the other activity types, like email, fax, etc but no nothing for a note.

I would like to write a workflow to notify the owner of an Incident when someone adds a note to one of their tickets.  I wrote a similar workflow for the email activity type.

Thanks Lorne.  Using the Note table, I was able to create a workflow to notify the incident assignee when someone else updates the timeline of one of their tickets.

I was thinking that the timeline showed only activities and some documentation mentions "annotations".  I guess I got turned around a bit.

    thanks for the clarity.

There is a table/entity called Note that stores the activity notes and uses a bunch of GUID values to tie it to the user/ownerID, other entities that it relates to such as contact (objecttypecode) and so on.

You can see how it is done (well, opaquely unless you can trace down the GUID's, but the design at least) if you connect to that table using Excel and the INTERNAL NAME "annotations":

Attached is a test note in an Excel file.

Thank you Leah Ju for that refresher.

at this point this is just an academic pursuit.  I was able to create a workflow to detect a new Note that was created for an Incident.

But, I would like to know how a Note is associated to the timeline.  Emails, phone calls, etc are linked to the timeline by the Activitypointer table?  yes?

How is a Note record linked to the timeline?   What relationship, protocol, code, etc is used to show a Note on the timeline for an Incident.

What I am searching for may not be known.  it could be part of the "magic" of powerapps/dynamics that only Microsoft can see.

    Thanks again for your input.

    Hi partner,

The timeline helps agents see all customer interaction history across channels, personnel, and the support lifecycle.

The timeline can show Activity, notes and posts.

Only if you select 'Notes' option, it can be shown in the timeline.

When you create a note in the timeline of one case.

The note can build relationship between current case.

Can anyone explain how the Activity <---> Notes is accomplished in Dataverse?

I have notes in the timelines for Incidents, the notes in the timeline for these Incidents exist in the Annotation table.

I cannot find a relationship or any way the Annotations are linked to the timeline.

OK. The notes are stored in the Annotation table.

Is there a correlation between an ID in the Annotation table and the activity ID of the Activity table?
