In Business Central D365 can I use a Shared Mailbox in my SMTP Set-Up or What is Best Practice?

In Business Central it does not appear you can use a Shared Mailbox as your mail User ID in the SMTP Set-Up for sending emails.  If you can, and someone knows how to do this, that would be great!  I did read that you can get a hold of the shared mailbox password, by resetting it, but also read this was not recommended.

Currently, I am the user being used in BC for the SMTP Set-Up, but I do not want all these sent invoices ending up in my mailbox, I want them to go to our shared mailbox sent folder.

I did set up a "send as", which works, but again the invoice still come to my sent items and I cannot right a rule to move them to the shared mailbox on a sent item folder.

Is there a better way to set this up, since you can only have one "sender"?

    Marco,

Thanks for the information, but I have read the set-up process, and have our system set up for now.  However, I am more looking for suggestions or best practice for setup of the outbound email, since it only allows for one sender.  I don't want these emails going to my sent items.  Do people, setup a O365 user to route these through?  The documentation never mentions if you can use a shared mailbox...does it have to be a licensed user?

    Hi,

I did wrote a blog about it.

    community.dynamics.com/.../how-to-configure-the-smtp-server-in-component-in-dynamics-365-business-central

The user must be licensed with Exchange Online and typically you use a catchall user that does the authentication for the SMTP Server component in Dynamics NAV / Dynamics 365 Business Central.

If you do not want an additional license, then one user will have it all. But you can use Outlook rules to move these to Deleted Items and have them permanently delete it from Outlook.

But again, best is to use a dedicated account. It cannot be a shared mailbox because of the password requirement. Especially when using MFA to secure the account, this can be a challenge.

    Hope it does help.

    Thanks.
