Archiving contacts - Dynamic 365

Hi Community,

Today we have been 'cleaning up' our contacts due to approaching our storage limit and I was wondering if there was a way to archive contacts that are currently in the CRM into either another entity or area, to condense space? We don't want to delete any contacts as we may need them again in the future.

Any help or advice you could provide would be highly appreciated.

    CRM is reasonably efficient in using data storage, in that fields with no data take up very little space, so moving data into another entity is unlikely to change the storage space very much, unless you have a lot of data (e.g. attachments, activities, fields with large amounts of data) that you don't keep.

    You're more likely to be able to free up a useful amount of space by removing data from the following tables:

    • Attachment
    • ActivityPointer and ActivityParty (activities)
    • AuditBase (audit)
    • Asyncoperationbase (workflows)

    Organization Insights in the Admin Console will tell you what tables take up the most space - This is under the Dynamics 365 Admin Centre (preview), Analytics, Common Data Services for Apps, Storage

    If you can't delete them you need to keep them inside the system and they will use space (active or inactive make no difference)

    if you want to save space (and you need to have a big number of contacts to save space) you need to remove them
