Deleted records exist in database?

Posted on by Microsoft Employee

Hi,

Am using Dynamics 365 (Cloud) and Cloud backup to SQL database using Scribe. Found that deleted activity and opportunity still exist in our backup SQL database.  Is that normal?

What is the way to identify the delete status of opportunity and activity records? I need the logic for SSRS reporting.

Thanks.

    Hi Marko,

     I'm not familiar with Scribe backup process there, but I'm pretty sure the records are deleted from CRM. If they are stuck in the backup database (and that seems to be the case), then it's a problem with the Scribe backup process.. but, like I said, can't help with that.

    I guess the record is actually deleted from CRM cloud database, but for some reason the "Scribe_Deleteon" field is not updating in the record in the our Scribe backup (soft delete).

    Any hints?

    Do you mean the record should be removed from Cloud database rather than update a specified field as soft delete and should not be found in the backup database?

    I have tried below case:

    1. Create Opportunity record in Dynamics 365;

    2. Success retrieve GUID using WebAPI ;

    3. Delete Opportunity record in Dynamic 365;

    4. Failed to retrieve GUID using WebAPI.

    This shows that the record should be removed from cloud or the retrieve failure is due to soft delete?

    Soft delete was last seen in crm4 if I am not mistaken - there seems to be a problem with that backup job.. you can probably compare crm data with backup data, but it sounds like you would need a full extract of record guids, at least.. won't help with ssrs that much

    I don't think there is still soft delete in Dynamics 365. Go and verify!

    The only way to identify the deleted record is by turning on the Data Audit. Then you can use the Retrieve Audit request to identify the deleted records. You might need to explore whether the audit history is retrieveable via FetchXML since you don't have the access to SQL audit table for CRM online.
