Importing an Excel list into a Marketing List in CRM 2011

Apologies if this has been asked before, but I have an Excel spreadsheet of names I need to add to a marketing list in Dynamics CRM 2011.

Some of the names already exist in the system but others do not, and I am trying to import the list in such a way that if the contact already exists in CRM, they are added to the list, but if they do not exist, they are created as a new contact and then added to the list.

The issue I'm having is that because I have checked "No" when asked if I want to allow duplicates during the import, the records that already exist are prevented from being imported at all.

Maybe I'm approaching this the wrong way but any help much appreciated!

The approach should be, extract this into separate excel files.  One excel file that has all contacts from your marketing list.  And a second excel file for your marketing list.

Import the contact excel file first, and enable duplicate detection.  The failed rows will be existing contacts and that's okay to leave as is.  The second excel file (i.e. your marketing list) will then import without errors.

I'm not sure I follow, Andrew. The marketing list is currently empty (I have just created it) and I have been asked to add 200+ contacts to it from an Excel spreadsheet that has been compiled. However, since I don't know which ones are already on CRM and which ones are not, I don't know how I would go about extracting the contacts into different files...

    Hi,

you could use connections for that, check this guide:

    blog.datixinc.com/.../import-marketing-list-members-microsoft-dynamics-crm

or use this guide which should apply for contacts as well:

    blog.clickdimensions.com/.../import-an-excel-sheet-into-crm-as-a-marketing-list.html

    Cheers,

    Andreas

Thanks for your reply Andreas. Have you used this method before? And if so, have you any tips on how to handle multiple contacts with the same name?

Separately from the approach above you would need to use:

    1. Built-in duplicate detection

    2. Third Party duplicate detection tool

    3. Manual export of contact data and external processing of duplicates or flagging of duplicates.
