How to prevent users from logging into CRM during a new release is deployed

Hi,

We have just introduced CRM Dynamics (premise) in our Company.
We have around 400 active users. Currently we ask all of them by email to log out of CRM before we take database  backup and deploy a new release (i.e. import a  new Managed Solution).  Is there a better to make sure nobody is logged in anymore and won’t login anymore during we deploy the release?
Only system administrator should have access to CRM during the deployment of a new release.

What would be the best-practice approach for this?

Many thanks
Alen

    Hi Alen,

    Look to the following links:

    stackoverflow.com/.../how-do-i-temporarily-take-all-crm-online-users-offline

    rc.crm.dynamics.com/.../source_set_BU_EnableDisable.htm

    Hope this helps.

Hi - some suggestions at my earlier post - https://community.dynamics.com/crm/f/117/t/155439.aspx

You can select users and disable them expect the admin and re-enable them after the downtime.

    Hi,

Disabling user will be the best option and required minimum efforts.

Arpita Saini Mahendar Pal I disagree: Disabling users temporarily is NEVER a good option, because you have no easy way to be sure to re-enable only the correct users afterwards. Other users already disabled are indistinguishable without checking last modified dates etc, and it is just not worth the risks of re-enabling the wrong ones.

Disabling a Business Unit will prevent all users in the BU from using CRM, without actually disabling the users. You can't do this if you have only the root BU though (then no-one, including admins could sign in, so it prevents you from locking yourself out that way)

It makes sense, if you have multiple business unit, but if there is one business unit I think disabling user should be quick keeping list of already disabled user before disabling others.

    Thanks.

    Hi Alen,

i think disabling user is not a good approach as the user is Security roles is removed.

I would suggest that you can change the access mode of the user to Read from Read-Write. In that case even if the user is able to login but no database write actions will take place and after importing the solution you can change access mode to Read-Write and do a iisreset, which means users will have to relogin or atleast they have to refresh the screen.

I don't think disabling users is very good as Adam says. There are over 400 users in this system, so if they have say 100 already disabled then you are getting yourself into a real mess.

Just another thought..Could you create a new temporary business unit, move all of your active users to that new unit and then disable it whilst you make the changes and then move them back?

I would suggest creating a team and adding all the active users to that team and disable all the users. Once you done with upgrade you can activate  all users who are part of this team. Deactivating the users wont remove security roles. i think based all the suggestion, this seems to be more feasible and easy to do.
