Cannot Select User Defined layouts for Customer Document Layouts

Posted on by
Hi all,

In Business Central I’ve set up a User Defined Word layout for the Sales Quote:
  1. Added a User Defined layout on the Report Layouts page
  2. Assigned it in Report Layout Selection and confirmed it prints correctly
On the Customer card → Customer Document Layouts, for the Sales Quote report, I only see options under Custom Report Layouts (Legacy). I can’t see or choose my new User Defined layout from the Report Layouts page.
Questions:
  1. How can I select a User Defined layout for a specific customer in Customer Document Layouts?
  2. Is Custom Report Layouts (Legacy) now considered obsolete, and should we be using only the new User Defined layouts?

Version: Business Central 26.5 (Platform 26.0.41507.0, Application 26.5.38752.41739, online)

Thanks.

Cannot Select User Defined layouts for Customer Document Layouts

The inability to select user-defined layouts for Customer Document Layouts in Microsoft Dynamics 365 (D365) Finance and Operations (or older AX versions) is a common issue that typically stems from incorrect setup or security permissions related to the Electronic Reporting (ER) framework.

The system often restricts selection to standard or system-generated layouts unless specific configurations are met.

    Root Cause Solution/Action to Take
    1. Missing ER Configuration Ensure the format is available and executed: The custom layout must be correctly imported and enabled within the Electronic Reporting module. The format configuration needs to be derived from the correct data model (e.g., Customer account statement model) and associated with a specific output format (e.g., Excel/Word template).
    2. Security Permissions Verify user roles and permissions: The user attempting to select the layout must have the necessary security roles that grant permission to access the Electronic Reporting workspace and execute the associated report format. Check roles like Electronic reporting developer or Electronic reporting functional consultant.
    3. Layout Association Error Link the document type correctly: The user-defined layout needs to be explicitly associated with the correct document type in the Customer document layout setup screen, ensuring the status is set to Active.
    4. Feature Management Flag Check for feature flags: In some D365 updates, specific functionality (like enabling user-defined ER layouts) is controlled by a feature flag in the Feature Management workspace and must be explicitly enabled by an administrator.

    The Dynamics 365 Customization Barrier

While troubleshooting setup issues can be straightforward, implementing complex, truly user-defined layouts often requires modifying the underlying ER model or data sources, a task that demands specialized expertise in D365 development and integration.

For issues involving custom document layouts, security configuration, or deep-level customization within the D365 environment, partnering with seasoned experts is essential.

CMARIX Infotech offers specialized Microsoft Dynamics 365 development services. Our certified developers provide comprehensive support, from troubleshooting configuration errors like this one, to complex customizations, integration, and full-scale implementation across Finance, Supply Chain, and Customer Engagement modules, ensuring your D365 environment perfectly aligns with your business processes.
