Removing Smartlist favorites that belong to "system" Or hide them.

There are plenty of custom SmartList favs visible to everyone in the system that are useless. All they do is take up space. I think the majority of them were creating by accident and are not even being used by anyone. IT/Admin can't be bothered to fix this.


All i want is for them not to be visible to me. I dont want to remove them completely incase someone is indeed using them.

Seems like a fairly simply option but i can't find a way to do it.

    This can be done via Smartlist security.   Just uncheck the objects you do not want to see.   If you need help finding security, what version of GP are you on?

    Any of the Favorites that have an asterisk behind them are system created and are visible to the System.  You can't make the Favorites invisible to just you.  You will have to get your users to become more disciplined when they are creating Favorites.  You will need IT help to fix this.  I have SQL Scripts that change ownership.  Without IT help or User buy in, you are stuck....

    I understand the ones with an * can't be changed, i'm just talking about the user created ones.

    So what about Smartlist security option? Where exactly is it? I'm using GP 10.0

     

    I have a feeling i'm not gonna have access to the security options.

    When users create favorites they get to name them and set the Visible To: field.  For Visible To:, they can choose System, Company, User Class or User Id.  In order for you not to see them, you have to convince tham not to use System or Company (unless the Favorite is really useful).

    You could make a suggestion on Connect to have a checkbox to limit the Favorites diplayed - I'd vote for that.

    What Dan is suggesting removes entire Smartlists, not just the Favorites.

    Be careful if the security is altered behind the SmartList object itselft as this will affect any user assigned to the same Security Role that contains the related Task.

    The organization may want to review current items in use (I know this can be a bit of a task) to determine what is currently in use and what can be removed.  At the same time, it might be beneficial to rename SmartList favorites with a user initial designator so there is some insite into who is creating/using these SmartLists.
