Process to create orders and order products for existing records

This might be hard to explain so I have attached a diagram to assist.

I have an entity to hold booking information such as the total booking amount, the booking date and the customer doing the booking. A single booking might consist of audio visual equipment, food and a room. Each of the these is recorded in a booking details record which contains the total for that item, the product code for the item. A booking record can have many booking detail records.

I would like each booking to have an order in CRM. This is for reporting consistency.

So for each booking entity I need to generate an order and the order products are essentially copied over from the booking details. I then need the new order to be linked to the originating booking record.

I tried with a workflow that I could run on demand but could not get a way to do this. It was further complicated by the fact that to create order products, you need to create the order first.

All advice welcomed.

    Hi jsteele,

Thanks for reaching out. Can you clarify if you are using the Opportunity record, or Quote record currently in CRM? If you are not I would recommend using those records and relabeling them as they have the OOB functionality to generate an order and carry over the opportunity products, or quote products automatically.

Let me know how to help. Have a great day!

We already do use the opportunity record so that can't be used but we don't use the quote record but might need it in future.

The task I describe above though will really just be a one off. I won't need to do this again.

Hey Jsteele, sorry for the delay responding. There is a third party solution that was created and shared for free on Codeplex. msdyncrmworkflowtools.codeplex.com

This installs a custom workflow that gives you the option to update child records. If you are saying that you only need to do a one time update, using the export to excel and import process would be the fastest way to get everything. If you created custom entities matching the information you wanted from the booking, and booking details.

    Hope this helps.
