Sales/Purchase Documents Delete, Archive, Restore

Hello. Good day! We need to archive some of sales/purchase documents that we have. I also set up the sales & receivable page that before the document is to be deleted, it will prompt a question to archive the document.  I followed the instructions on how to archive the documents however, in order to restore the document again, the original document needs to still be available in the list.

Can we restore documents after it's archived but deleted?

Thank you.

I have the same question (0)

    Hi,

You cannot restore from sales order archives if it is deleted or posted sales order.

You can restore the information of the sales order using the Change Log if it is enabled else you won't be able to restore the data back.

Thanks for the response. I am still using the cronus company and change log is activated. How does it work?

    Hi,

For example if you have document in sales order archives page then

you create another sales order and use copy document action and chose archive order and choose no that you want to copy.

Choose include header option to yes and click on Ok.

But if you don't have the document data in sales order archive page then go to change log and then search for that document no and you will get the field values and create sales order manually.

To use an archived document when the document no longer is active, you have to create a new document and use the Copy Document feature.

Vaishnavi gives the instructions for this...it is not coming from the change log just so you know.

    Hi,

Refer the below screenshot for copy document action in sales quote

Thank you. However, what I really wanted to achieve is to delete the document, archive it and restore again if we need back the quote and I think that has been answered that it's not possible. With the copy of the document process, it will still have an active document  in the sales quote, lets say.

If this is how it works, what's the function of the restore on the archived document if the original document is still active?

    Appreciate your help.

    Hi,

when you archive the sales order and the sales order exist in the SO list . The Restore function is used to overwrite the original with the archived version of the document. This is practical if you need to restore the contents of a document to an earlier state.

You can archive and then delete your quote. You can then copy from the Archive into a new quote when you need it.
