Security Roles and Tasks - restricted options still visible

I am trying to find help with a Dynamics GP user security issue that continuously occurs.  We set up security roles to significantly restrict access but the user is still able to view all the content pane options at login even though they cannot actually access the option.  After clicking to other series and then clicking back on the initial series, the restrictions seem to take place.  I cannot find a way to prevent this from occurring.

When you log in, Dynamics GP adds all of the menu options to the menus, regardless of security access.

Note that "seeing" a menu option does not give access. You will still be denied access if you try to use it.

Once logged in a background process runs (you can see it if you look at the Process Monitor window). This process will work through the menus and remove (hide) any menu that is linked to a form for which access is denied.

Menu entries which call scripts and are not linked to a form will not be hidden, even if the script in turn tries to open a form.  You will still get an error if access to the form is denied.

You can tell when the background process has finished as the user id and company name in the toolbar become enabled.

    Hope this helps.

    David

    L Vail,

The scenario that I just went through with my GM is following:

The user is our test user AMT1 and is set to have restricted access to GP with no access to any options in the Sales, Purchasing, or Home content panes and only bank deposits on the Financial content pane.  Additionally, I have created a modified reports/windows user for this person to limit them to a modified edit check batch window.

When my GM first logged in, the home page had no options (this is correct), the Sales, Purchasing, and Financial series all had options on them - some in the transaction pane several in the card and inquiry panes and a couple in reports (there should be no options in any of those panes for all windows except bank deposits in transactions pane on financial series).  After he clicked around to several series, the options being displayed changed but would never completely go away.  He then logged out and logged back in and was able to see the restricted views properly.

After logging out of the server completely then logging back in to the server and back into GP, he saw options again, clicked onto other series and the restrictions were all correct without having to log all the way out again.

I hope this isn't too confusing.

    Thank you.

I had our GM log in to test whether or not the same issue happens for him, and it did.  He has never logged in with the user login and password that I have been using to test this problem, so I was hoping he wouldn't have anything stored in his temp file.  An additional issue that may be causing this is that we are using a terminal service connection for our clients.  Our GM is thinking this may be adding to the issue - the options are being stored in a file that I am not sure how to access.

    Hi Nancy,

I think we need more information. Richard's answer is, of course, correct, but I am not sure that his is the issue you are seeing. Can you walk me through a scenario so I may better understand the issue. I know it is a paid, but if your question is otherwise unanswered I would really appreciate the effort.

    Kind regards,

    Leslie

The content/context of the menus is stored locally on the workstation.  This allows menus to be displayed quickly.  However, the local temp area is not updated until after the user logs in and allows the system to re-read security.
