Tracking on Project, Requisition worksheet, PO

Hi everyone,

I'm wondering if there is a reference field / no. to track an item from project > requisition worksheet > PO.

Q1. It is found that once the PO is created from requisition worksheet, the same item project line cannot be generated on the requisition worksheet.
It seems the system knew that PO has been created for the item, the question is where the marking on the project planning line?

Q2. When an item, which comes from a project and requisition worksheet, is populated on the PO line. There is no project and project task no. The project expense won't be reflected by the item cost by default, unless the user populate the project no. and task no. manually. Is it right?

Thanks.
I have the same question (0)

Maybe I’m not fully understanding your question, but once the PO is created from the Project Planning Line, the system automatically takes the Project No., Project Task No., and Contract No. into the Purchase Order. This is how the linkage is established. This information exists at the line level. For Q2, yes, that is correct. Along with this, if you also maintain the Line Type (if you want it to be considered), the planning line will sync with the manually created PO and the attached Project and Task Nos. If you keep the Line Type blank, the cost will still be updated on Project Card once the PO is posted, but the planning lines and usage connection will not remain in sync. In any case, the system will show a popup warning when you attempt to post the PO.

    Hello,

When you create a PO from the Requisition Worksheet based on a project planning line, BC links the demand and supply through reservation/order tracking, so the Project Planning Line is marked as supplied and won’t generate another suggestion — that’s why you can’t recreate it. However, when the PO line is created via the worksheet, Project No. and Project Task No. are not automatically populated by default, so the item cost won’t hit the project unless those fields are filled in (or you use the proper project purchasing flow directly from the project). So yes — the blocking is handled automatically, but project costing requires those fields to be populated.

While some decent information has been provided, it is not sharing the WHOLE picture.  How the fields on the PO lines get populated is dependent on the Reordering Policy of the Item being purchased.  "Order" will populate the PO Lines, while "Lot-for-Lot" will use the Reservation system to track the connection.  Neither Stock policy will create a link, since they are purchasing based on stock level, not directly for a Project.

You do NOT have to have the Project No. and Project Task No. populated on the PO line to have the Item costed to the Project.  It simply means the Item will be received into Inventory first, and then later consumed (via the Project Journal) to the Project.  The reservation from the PO line will pass to the Item Ledger Entry upon receipt, so you do not lose the connection of supply to the Project demand.

It is important to note, if a Project No. and Project Task No. are on the line you need to be careful with timing.  Since the receipt of the PO will immediately consume the Item, but that consumption doesn't show on the Project until the Invoice is posted it can cause planning to pick-up the demand again.  In this scenario it is better to Receive and Invoice the PO line, if possible, to avoid potential overstock of an Item.

Hopefully this helps straighten out how the connection is being made.

    Best Regards,
