Workflow Approval Notification Emails Not Received Despite Successful Sent Notification Entries

Hi everyone,

We are currently facing an issue in Microsoft Dynamics 365 Business Central where workflow approval notification emails are not being received by the approver, despite all related configurations appearing to be correct.

We have verified the following:

  • Job Queue is running without error

  • Email Account is able to send test emails successfully

  • Workflow Notification setup is configured properly

  • Recipient email addresses are configured correctly

We also noticed that the last successful notification entry was sent on 8 May 2026. After that, approval notification emails are no longer being received by the approver mailbox.

Additional observations:

  • Approval requests are created successfully

  • Workflow steps are triggered correctly

  • “Sent Notification Entries” are generated without errors

  • No issues found in Email Outbox or Job Queue logs

  • Test emails from Email Accounts can still be sent successfully

At the moment, we are unable to identify the root cause from our end.

Has anyone encountered a similar issue where:

  • workflow notifications stop sending suddenly,

  • notification entries are still generated successfully,

  • but recipients do not receive the emails?

Any guidance on additional troubleshooting areas to check would be greatly appreciated.

    Let me know if my understand is correct, you want the approver to receive email notification when the record is approved?
    Because this is not a common request since the approver is the one approving the record, there is no reason to email themselves that it is approved.
     
    If everything else is showing as success, it is likely that the workflow is not setup to send email the approver, which the standard workflow template does not include.
     
    Otherwise, you can check the Approval User Setup -> Notification Setup.

    Hello,

    The notification is meant to notify the approver that there is a pending approval request requiring action from them, not to notify them after the record has already been approved.

    In our case:

    • The approval request is created successfully

    • The workflow is triggered correctly

    • Sent Notification Entries are generated successfully

    • However, the approver does not receive the email notification for the pending approval request

    We have also checked:

    • Approval User Setup

    • Notification Setup

    • Workflow configuration

    • Email Account setup

    • Job Queue status

    Everything appears to be configured correctly, which is why we are unsure why the notification email is not being delivered to the approver.
