How to do Vendor Categorization? I can think of 3 options.

Posted on by 74

Trying to find the best approach to categorize our vendors.

We have options like

  • Product Vendors
  • Suppliers
  • Contractors
  • Consultants
  • Utilities

Outside of development and adding a custom field I can think of three ways to do this.

  1. Dimension
  2. Responsibility Center
  3. Vendor Posting Groups

Dimension seems easiest to do however it will not show up on the vendor card view to visualize or ensure it gets entered.

We don't use Responsibility Center and not sure if we will.  One benefit is we can restrict users to assigned responsibility centers so they would see a subset of vendors.  However the list is visible on other entities and can be misconfigured.  I do not know if we can make responsibility centers mandatory for only vendors.

Vendor Posting groups seems to be the best option.  It is required field, visible on the vendor card, and I assume we can report against it.  I'm still new to BC and still working to get a better understanding of posting groups.  Would there be any drawbacks to go with vendor posting groups for categorization?

    Hi

As Mr Bruvik mentioned Vendor Posting Group is the better option. By using Vendor Posting Group

    1) If you want you can setup different G/L account for each vendor category to keep them separate from each other for finance purposes.

    2) Most Vendor's report in BC are filterable by Vendor Posting Group ( Vendor Purchase List / Vendor – Detail Trial Balance and etc).

    3) You can use ODATA/Excel and publish this field to use in Excel.

I think using vendor posting group is a good option in your case.

There is also a statistics group that can be used but there is very little reporting around it.

Using the vendor posting group will give you some extra posting setup to maintain but from what i can read about your case it will be worth it.
