Attachments Storage in Local Server or Sharepoint

Hi,

We have Dynamics 365  Sales and Customer Service Online deployment and the users need to upload/read their documents in CRM system, the pdf, the photos that they will take when meeting a client for example.

We plan to store these attachments on a local server. this is option1. Then, I knew that Dynamics 365 can be intergrated with sharepoint and luckly, the D365 license includs the sharepoint license, and its extra space cost will be cheaper than D365 online storage cost. As I have never tried sharepoint with Dynamics 365. what are the considerations about this option?

I have also 2 question:

  1. Dy default D365 has 2 instantce, is there a conflict when 2 instance connect to the same sharepoint online?
  2. We plan to develop a mobile app for sales person. Is CRM web api engouht to create a note/attachment? or I have to call extra sharepoint related api to upload/read the file?

    Hi,

    1. There shouldn't be any issue by having multiple instances in Dynamics 365 and having 1 instance in SharePoint. You can create two sites in one instance in SharePoint.

    2. When creating a note/attachment, it doesn't get uploaded to SharePoint. You need to call SharePoint wcf services to upload a file. You can have multiple approaches here;

    - You can create a note/attachment from mobile app

    - You can upload the file to SharePoint through a plugin which runs on note/attachment

    or

    - You can upload to SharePoint directly from mobile

    Connecting Two Dynamics 365 Instances to a Single SharePoint Online Instance
    There is no issue with connecting two Dynamics 365 instances to the same SharePoint Online instance. You can manage this by creating separate SharePoint sites for each Dynamics instance. This helps in maintaining logical separation and organization of documents, making it easier to manage.

    Handling Attachments from a Mobile App

    By default, notes and attachments in Dynamics 365 aren’t automatically uploaded to SharePoint. You can:
    1. Create notes/attachments in Dynamics 365 from the mobile app.
    2. Use a Dynamics 365 plugin to upload files to SharePoint when a note is created.
    3. Directly upload files from the mobile app to SharePoint using SharePoint APIs.
    For seamless integration, combine the Dynamics CRM Web API for CRM operations with SharePoint APIs for file management, ensuring efficient and unified document handling.
