Edit a historical purchase order?

In GP 10.0

 

End user wants to edit a historical purchase order.

She chooses Transactions/Edit Purchase Orders and clickes on the magnifying glass

The option to view all open purchase orders is there but the option to view all historical purchase orders is greyed out and cannot be chosen.

 

How can the SA make this available to the end user?

    Hello Deanne,

    As has been stated, once a Purchase Order is in history it is fairly well set in stone. This is actually true of POP and SOP documents.

    If the customer wanted to 'edit' things and include drillback functionality, they could use the remove purchasing history utility in order to remove the PO (and associated receipts/invoices) from their system, back out inventory/GL amounts and re-enter as a duplicate. This is often the only way to correct a situation when looking at a PM invoice that was handled incorrectly in some form that you would like to retain the functionality to drillback to the POP side of things.

    You can create a new PO using the closed PO in a Copy/Create. Click on the Purchase Order Entry screen. At the top, click on Actions > Create and Copy New PO. Type in the Historical PO # in the Source PO Number field of the Copy a Purchase Order screen. click Copy - upper left.

    The end user wants to renew a contract - I'm in agreement with Dan and you Frank, but I've gotta do the research.  Just want to make sure that this isn't really available.

    My question would be - 'why do you want to edit a PO in history?'

    Melissa is correct in that you cannot edit an historical PO.   They are listed in the look up because there is a separate process to clear closed PO's from the open file (Tools>Routines>Purchasing>Remove Completed PO),   If you go to the Edit Purchase Orders option under Purchasing Transactions, you can pull up the PO and validate the line status as well as the PO status.   If they are all closed and all lines are received, why would you want to edit the PO?  My suggestion if you needed to add to the PO, would be to use the same PO number and add a -1 or A at the end so it will appear as the same but be a different PO number for GP.   I would also run the remove PO routine on a monthly or quarterly basis.

    Just wondering then, why is the option listed but greyed out?  The end user sees this and is almost demanding that they get it.....

    You can't edit a historical purchase order.
