Global Dimensions

Hello,

We are working on the mapping to convert our Great Plains GL accounts to BC. We have multiple entities with multiple locations and within the locations there are typically multiple cost centers as well.

My question is: Can we have a repeating number for one of our Global Dimensions and also for the shortcut dimensions?

For example, in one entity, you have:
  • Global Dimension 1 (Entity #) = 00
  • Global Dimension 2 (Location #) = 90
  • Shortcut Dimension 1 (Cost Center) = 999
In another entity, you have:
  • Global Dimension 1 (Entity #) = 16
  • Global Dimension 2 (Location #) = 90
  • Shortcut Dimension 1 (Cost Center) = 999
I am guessing we would need to restrict the posting of Global Dimension 2 and Shortcut Dimension 999 to only be available to use for entity 00 and entity 16? We are going to use solver for reporting and we like to do entity specific reporting and also do a consolidated P&L for all entities and locations. But, even though the Global Dimension 2 and the Shortcut dimension are the same, we still have an entity-specific identifier in Global Dimension 1 so I do not see why this would be an issue. The reason we were thinking of using some repeated numbers for location is because they are serving the same purpose. For example location 90 is real estate related per entity.

Our conversion partner says the location global dimension needs to be unique but I find that had to believe because that means business central can only handle 99 locations. And our conversion partner recently claimed there are no allocation accounts but we found out there are through our own research and then they told us there is in fact allocation accounts. So, I just want to ask this question here to make sure we are not getting steered wrong by our conversion partners. Otherwise we are going to have all sorts of different location dimensions that are not necessary.

Thanks,
I have the same question (0)

Hi, im not sure on your partners feedback and notes but here is how Business Central dimensions work.

You can have by default up to 8 dimensions:
    • Global Dimension 1/Shortcut Dimension 1
    • Global Dimension 2/Shortcut Dimension 2
    • Shortcut Dimension 3
    • Shortcut Dimension 4
    • Shortcut Dimension 5
    • Shortcut Dimension 6
    • Shortcut Dimension 7
    • Shortcut Dimension 8
In your case you have 3 dimensions:
    1.  Global Dimension 1 = Entity
    2. Global Dimension 2 = Location
    3. Shortcut Dimension 3 = Cost Center
Each dimension will have values, you can have in theory unlimited dimension values (they dont have to be numbers either, they can include characters or be longer numbers like 1000, 2000...) and I would add you can have the same numbers across dimensions:
    1. Entity Dimension
      1. 00 - Entity 1
      2. 16 - Entity 2
      3. Entity 3 - Entity 3
    2. Location Dimension
      1. 00 - Location 1
      2. Location 2 - Location 2
    3. Cost Center
      1. 999 - Cost Center 1
      2. Accounting - Cost Center 2
      3. HR - Cost Center 3
You can set dimension restrictions so for example if you use Entity 1 only Location 1 and Cost Center 1 can be selected. Read more here: Work with dimensions to track and analyse data - Business Central | Microsoft Learn

Allocation accounts are also part of standard BC and you may be able to use them for your purposes: Allocate revenue and costs to multiple general ledger accounts - Business Central | Microsoft Learn - this feature wasn't part of NAV and was added in an update for BC recently, I have seen users have incorrect information regarding features when they use AI tools trained on older data (pre 2025 or 2024) as it wont always include information about current new features.

The partner you are working with may have GP experience but may not have full Business Central experience. This is quite common with a lot of GP specialists who are trying to upgrade to Business Central as GP is at end of life. Microsoft has a lot of great Business Central material and resources online, you can find all the documentation here: Business functionality supported by Business Central - Business Central | Microsoft Learn

Hopefully that helps you a bit.

    Best!
