Hi, If i have raised a PO in business central and sent for approval but it has then been deleted as no longer needed, how do i get rid of the approval? It is still showing in my pending approvals but says record does not exist?

    Good morning, afternoon, or evening :) depending on your location!
    It sounds like the approval request is still lingering in pending approvals, even though the purchase order (PO) itself has been deleted. Here are a few ways to resolve this in Dynamics 365 Business Central:
    1. Cancel the Approval Request
    • Go to Approval Request Entries and check if the request is still listed.
    • If available, select the request and click Cancel Approval Request to remove it.
    2. Check Restricted Records
    • Navigate to Restricted Records and see if the PO is still listed there.
    • If found, delete it from this section to remove any lingering approval entries.
    3. Use a Configuration Package
    • Some users have successfully resolved this issue by using a Configuration Package for Table 38 (Purchase Header).
    • This allows you to overwrite the status field and reset the approval request.
    4. Disable Workflows Temporarily
    • If the approval request is stuck, try disabling the approval workflow temporarily.
    • Then, attempt to release the PO again.
    5. Check Approval Entries
    • Go to Approval Entries and verify if the request is still active.
    • If necessary, manually remove the approval entry.

    Hello,
     
    If the Purchase Order is in the status of "Pending Approval" and PO is deleted without Cancel the Approval, then
    1. You should need to remove record of PO from "Restricted Records" or 
    2. "Reject" the PO from Approval Entry or
    3. Temporarily Turn Off the PO Workflow.

    Thanks for the replies, unfortunately that doesnt seem to work, The record doesnt show in restricted records, and i am unable to reject it as it has been deleted and currently in purchase order archives.

    You could delete the old PO,  create a new one and send for approval. If BC doesn't allow you to delete PO, try to disable the workflow and reenable it after the deletion.

    if a Purchase Order (PO) was deleted but still shows up in the pending approvals, it's likely because the approval request is still lingering in the system even though the PO itself no longer exists.

    In my case, I tried to replicate your scenario by creating a Purchase Order, sending it for approval, and checking the approval entries. Then, I deleted the PO, went back to the approval user's Approval Entries page, and found that the entry was automatically deleted. I checked this process twice, and the entry was removed without any additional action.

    The key difference is that in my case, the approval entry was automatically deleted when the PO was deleted, while the you still saw the approval request lingering in the system.
     
    Such strange. Could you verify if the steps I took are same with your scenario?
