Matrix List for Analyzing Default Permissions against Default Roles

Is there any option available in the Business Central for analyzing the out of box permission sets against different user roles. If not on Business Central then on any Microsoft page?

    Business Central has no single feature to map out-of-box permission sets to roles in a matrix, but you can analyze assignments using the Permission Sets, Effective Permissions, and Effective Permissions by Set pages. You can also export system permission sets to XML for deeper comparison in Excel. For official reference, check Microsoft’s documentation on special permission sets, entitlements, and how to define granular permissions in Business Central.

    Hi Sheikh,

    It’s a common request, especially when trying to align user roles with actual system access. Out of the box, BC doesn’t offer a built-in matrix view that maps default permission sets directly to default roles. However, there are a few ways to get close:

    You can use the Effective Permissions page to view what a specific user has access to, but it’s user-specific and doesn’t give a role-wide overview. For broader analysis, the best approach is to extract permission data using the system table Permission (2000000005) — this holds all permission set details and can be accessed via a direct URL parameter. From there, you can build your own matrix using Excel or Power BI.

    Another option is to use the User Groups and Permission Sets pages to manually trace which sets are assigned to which roles. It’s not visual, but it’s reliable. If you’re managing a large environment, consider exporting this data and building a reference sheet for internal audits or onboarding.

    Business Central does not directly provide a full out-of-box matrix that maps permission sets to specific user roles

    1. Microsoft Learn: Standard Permission Sets

    Microsoft provides a reference page with standard (out-of-box) permission sets, including their IDs and descriptions.

    Business Central Standard Permission Sets (Microsoft Learn)


    • You can filter by module: Sales, Purchasing, Finance, etc.

    • Each permission set includes description and intended purpose.

    2. Page 9802: "Permission Sets"

    In Business Central, go to:

    Search → Permission Sets


    • This lists all permission sets installed in your environment (standard and custom).


      • Included permissions (via Permissions action)

      • Assigned users

      • Object types (tables, pages, codeunits  

    To analyze against user roles, compare this list with the Security Groups or User Groups in Page 9831 (User Groups).
