Placing receivables accounts on HOLD in bulk

I'm trying to figure out how to place customer accounts (receivables) accounts on hold in bulk.  What I mean is, I created and ran an "inactivity" smartlist and several thousand accounts came up in my search.  I'd like to place these accounts all on HOLD as a preventative means of making sure we don't get a bad debt.  Is this possible?  I figured I could do this using Navigation lists, but if I use the "customers" list, the filters do not have the search functions like "terms, Last transaction date, or other performance data".  Is there a smartlist/navigation list integretion??

I'm using MS GP 2010 R2

I believe what you're looking for is to "inactivate" a set of receivable accounts which are linked to your customers through Cards > Sales > Customer > Customer Account Maintenance.  Right ?

If this is what you are looking for, you could simply create a Macro to run and inactivate these accounts.

Your feedback is highly appreciated in order to dig for further details if required.

I'd like to use the "HOLD" box instead of the "INACTIVE" box, but yes.  I'd like to be able to click the box once instead of 2000 times.  I'll look at the instructions for using the MACRO for GP.  I was hoping the NAVIGATION LIST window would allow me to do this...

Let me make this clear. There is no "Hold" button on the "Account Maintenance", it is on the "Customer Maintenance window". There is a difference between inactivating an account and putting a customer card on hold.

    • Putting a Customer on hold (Cards > Sales > Customer)

This will prevent any sales transaction on the customer, though, you can still receive payments if the customer has a balance.

On the other hand, the account linked to this customer will still be active, and account entry on the account will be available from the general ledger.

    • Inactivating an Account: (Cards > Financial > Account)

Inactivating account prevent any transaction from the general ledger. You can still inactivate the account if it has a balance.

You need to put a set of customers on hold in order to prevent any further Sales Transactions, while you could still receive any unpaid payments in the future.

If you are interested, please e-mail on mahmoodsaadi@gmail.com in order to provide you with the required Macro.

    Your feedback is highly appreciated.

RE: Placing receivables accounts on HOLD in bulk

    Hi,

When you say "inactivity", do you mean the INACTIVE option is marked in the Customer Maintenance window?  Are these the customers you want to put on "HOLD"?

You can just use SQL and update the HOLD field value to 1.  You can use the script below:

    UPDATE RM00101 SET HOLD = 1 where INACTIVE = 1

The script will mark all customers that are Inactive on Hold as well.

Let me know if you have further questions.

RE: Placing receivables accounts on HOLD in bulk

I'm in accounting and our "IT" has us locked out of being able to use SQL.  I was hoping this was a function that I could do thru the normal GP functions.

Yes - i want to be able to put customer accounts (Sales>Cards>Customer) on hold. The only method I can find to put accounts on hold in bulk is using the Navigation Lists.  However, it doesn't let me filter thru enough fields to create a list of customer I want to apply the hold to due to credit related fields.

I would still recommend considering the Macro to put these customers on hold.

It doesn't require such technical knowledge as you might expect, as well as being quite safe.

Choose the Sales Navigation Pane on the left. Select the "Customers" navigation list and select the customers to put on hold. You can do this utilizing the filter function. Select all customers (checkbox in the top left). Click the "Apply Hold" button.
