Auto-Approval Issue When Content Creator Is Part of the User Group

I have created two workflows for General Journal batch approvals.

 

Workflow 1:

This workflow uses a Workflow User Group that includes two users: A and B.

Both users have the same sequence number: 1.

Reason: I want that whenever any user (e.g., user XYZ) creates a General Journal, the approval request should go to both User A and User B. If either of them approves or rejects the journal, it should be considered fully approved or rejected.

 
 

Issue:

Since both User A and User B are part of the Workflow User Group, whenever User A creates a General Journal document, the system automatically approves the journal.

This is not what I want.

I want the approval request to still go to a designated approver, even if the creator is part of the approval group (i.e., even if User A creates it, it shouldn't auto-approve).

 
 

What I Tried:

I created a second workflow, where I added a condition:

If created by = User A, then send approval request to a specific user.

However, this setup is not working as intended.

    You need to use Power automate to achieve the above. Business Central does not have these level of approval filter. But with Power automate using one of existing template you should be able do it.

    As far as I know it is not possible with the standard.
    You can consider customizing the Workflow, or using Power Automate as Ramesh mentioned.

    It is working for Standard PO workflow. please check below standard purchase order approval workflow and Apply condition "Pending approval>0" in your "General jornal batch" workflow and check

    Hello,

    As per my understanding, you can achieve this behavior by using multiple workflows with specific conditions and separate workflow user groups. Business Central allows you to define different workflows based on conditions like “Created by”, and assign unique Workflow User Groups to each workflow. By setting it up this way, when User A creates a General Journal, the workflow can be triggered to send the approval to User B (and not A), and vice versa. This ensures that no user can approve their own entries, preventing auto-approval.

    If this still not work for you then you can go with customization of workflow or using power automate as mentioned by other professionals.
