Product Description or Properties in Quote Report (PDF)

Hi All,

I've been searching for an answer to my query online, but could not find anything yet. Hence posting this question here:

I'm trying to generate a Quote Report from Opportunity, which should include either the product description, or its properties. For example, I'm selling a product with has a lot of customization available. So I would like to Include as the custom info of that particular product within the line product line item when added to the quote.

Any help will be appreciated.

    Hi,

    What are you using to generate the report? How many properties fields might you need to include? What exactly are you having trouble doing (i.e. which part of the report customisation process are you unsure of)?

    Do you have a particular report that you are using as a base?

    Hello Brad,

    Appreciate your quick response. Here is what I'm doing.

    I've added a list of Products in the Product Catalog. Also created the price list item for the products. For Products, I've also added a description of the product, which details about the product specifications. When I create a Quote, I've added that Product to the Quote. Now, after activating the Quote from the ribbon, I click on the three dots to go to Run Report --> Quote. This brings up another window with the list of products added in the quote, along with the tax, and totals etc. Now the problem that I'm facing it the report it generated includes under Details section is: Product ID, Product, Quantity, Tax, Price, Total, etc. However, I'm not able to add the product description to this view. I would like to include the product description on this page, so that I can then save it as PDF, and sent it to the customer via email attachment. 

    I've also tried to do the above via creating a product family, and adding product properties to it. However, that too did not help at all.

    I would really need to include the product description on the quote report, so that the customer knows what all is offered.

    Any help would be appreciated.

    The Quote report was "invented/created" in an older version of CRM. Product Details were added in CRM 2013 or 2015. They are not included in the report.

    You cannot access the Product Details via the new Word Template either.

    If the Product Description is a custom field you can create a Word Template and access the field there.

    Hi Rashi,
    Marianne is correct about the standard Quote report, however it can be manipulated to suit your needs. This is not a simple configuration exercise but will require editing the quote report (or better yet, creating a copy and editing that). I suggest finding someone with CRM reporting experience to do it for you.
    However, it you are stuck (or really insane) you can try editing the report's .RDL file yourself. This is not for the feint-hearted and will surely drive you mad (I'm serious! RDL is the devil's tongue). This would have to be done in the Quote report and Quote Sub-Report. I had a quick look at our version this morning but it seems that this has already been edited in the past so my version would be different to yours and I don't know which parts are OOB or custom. However, in theory, adding one field should be pretty straight forward.

    Brad,

    Thanks for the input. I think that's exactly I'm going to do (Modify the RDL File). I've been reading about the same, and i've few confusions about how to do that. People are suggesting that it can be done via Visual Studio or SQL. Further, people also suggest SQL is for On-Premise only, and for CRM Online we should use VS2008 or above.

    I've Dynamics CRM online (latest Version, latest updates)

    Concerns:

    1. What application should i be using to modify the RDL File.

    2. I've downloaded a rdl file of the quote, and checked in notepad, doesn't make much sense for editing the info.

    3. Considering I should be using the VS to modify the rdl file, i downloaded VS 2015 with update 3. But it has lot of components. Which one should i be installing in specific?

    4. Any other pre-requisite to be able to modify the RDL file?

    Any other link, suggestion, thoughts to achieve this would be helpful.

    Hi,

    I'll have to admit that I have never edited reports in VS (although I know it is possible because our developers did it all the time). I only ever make changes to the RDL. However, as you have seen, this can be very confusing. If you are not familiar with VS or XML then you have a steep learning curve ahead of you. It is more than can easily be explained here.

    I suggest that you download the CRM SDK if you have not done so already. I hear that it contains plenty of information and samples. There should be some reporting stuff in there. I would strongly recommend concentrating your efforts on VS. My understanding is that it takes a lot of the work out of building the reports.

    If you want to make small changes to the RDL, I suggest using Notepad ++. This has tools for formatting the RDL (which is effectively XML) so that it is more easily readable. You could also download the Report Definition Language Specification from Microsoft which explains how it all works.

    Alternatively, you could just ask a developer to do this work for you (if you have the budget). It really is a small change and a good programmer could have this done in an hour or two.

    Brad, Appreciate your detailed suggestion. Unfortunately, hiring Developer for CRM is not an option for me.

    Let me ask you this another way.

    So, I've added the product description as shown in the Quote (attached Screenshot)

    Than, i've run a quote report. Three dots, Run Report, Quote (Attached ScreenShot)

    Then the Report view has option to select the fields that I would like to add in my report from the dropdown menu, and if I click on view report, it will show me everything listed in it. How can I also add the Product Description that was available in quote?

    I've downloaded Visual Studio 2015 Update 3, and still trying to figure out how i can do so, but any suggestions would be appreciated. All i'm looking for is an additional column in this report.

    Hi,

    Sorry, I'm out of my depth here. Any advice I could give about editing reports in VS would be a guess and I don't want to steer you down the wrong path.

    Perhaps someone else in the community could jump in here? I'm sure that this is a common task.

    After investigation i found a solution and here is the guided steps :

    1- I create custom fields for each properties in quotedetails entity.

    2- I create a Flow that is triggered when i chose a values for properties by connecting to dynamicpropertyinstance entity to get the value of each ones

    3- In the same Flow i connect to dynamicproperty to map the values with the name of the properties and to get also the related quotedetails id and the product id.

    4- Update the quotedeatils with values of properties.

    5- Download the template of the quote entity and will find the custom fields created above.

    With these steps you can generate a quote that contains properties of product.

    I tried to make the flow as you described it but I don't succeed.

    I need some help. Would it be possible to make a video that describe the steps or even better, make a call, it would be great.
