Replacing Analytical Accounting with GL segments

Hello All,

I am hoping someone out there has been through this excercise and can give some pointers and/or best practices. We are attempting to take out AA and replace it with GL segments. We need to mapp the existing AA dimensions to the new GL string. We could use either changer or PSTL to accomplish this changer over in the open year. Questions are do we change history or do we archive the history and only do the open year? Challenges are, abviously mapping the translation because one old AR account can mean several different AR accounts when you mapp in the dimensions. Any suggestions/comments out there?

First thing that I would check is does the installed Account Framework support adding one or more segments. That could be a show stopper real fast and could be only over come with a new install.

If the Account Framework will support the adding of segments, then there are options like you indicate.

It will definitely take some thought and probably a trial run or two in a test company to work things out.

Unfortunately, I have never seen such a case in which AA is replaced by GL Segments. Since AA can provide more advantages over the traditional account segmentation enhancing reporting capabilities with less accounts.

Basically, since this is your case, I do believe that you don't need to consider the historical transactions.

Here I would think of two scenarios, In case your current COA supports such change in terms of the number and logical use of segments, then I suppose you could inactive all company accounts and configure new accounts to fulfill the business need.

On the other hand, your decision might result with a new COA design in which you might need to reconsider all account segments taking into consideration the mapping criteria to your current AA dimensions. In this case, creating a new company, with a new COA would be the best option for me in order to ensure data quality.

If I understand correctly you both suggest creating a new company for the current year and leaving the AA transactions in history in the existing company. Is that correct?

Have you checked your account framework? If the initial install did not allow for adding segments, then your only option would be to create an entirely new instance.

The account framework question is the first thing you need to answer before you know if a new company or working in your current company is even an option.

Yes, I have checked and can add a segment. I have done it in test already.

Good, then your options are more open.

The PSTL may not work for you in the existing company. I believe that it does not understand AA codes and only works with GL data.

I think the new company approach is the best way to go.

This will be an interesting exercise and I would definitely do things in a test environment first.
