Data Sync between Dynamics 365 and Portal

Hello!

Are there any resources available that provide detail on the sync process between Dynamics 365 Online and Dynamics 365 Portals?

I have contacted Microsoft support and am told that 5-15 min sync time is within acceptable ranges to see data entered into Dynamics 365 appear in the Portal.  However, they are not able to provide supporting documentation nor am I able to locate any myself.

Using the Clear Server-Side Cache function helps expedite the data sync.  However, obviously not something the end user can employ.

We are creating a document and attaching it to the notes of a record.  As part of this process the workflow adds the *WEB* flag necessary to display this note in the Portal.  The process to create the document and modify with the flag consistently takes less than 1 min in D365.  The issue is that the note does not become available to the Portal user for anywhere from 5 to 15 min after creation.

    Tom, in the workflow that you are adding the *WEB* try touching the regarding object of the note. By that I mean simply update a superfluous field as this should effectively invalidate the parent (or owning) object in the portal. For testing purposes you may want to use a field that is visible on the portal to ensure that the cache invalidation is actually occurring, just something you can use to see the changes yourself. If you find that the the parent object has been updated and the note still does not render I would escalate the issue with MS as this indicates the notes are being too aggressively cached or are missing a cache dependency somewhere in the chain. If this does address your issue it still indicates some kind of cache dependency calculation problem but with notes in particular and may help MS identify the underlying cause, an added bonus you will have a workaround in the short term.  If you find that the invalidation is not occurring even for the parent then there is a problem with the cache invalidation between the crm and the portal at a higher level which MS support should be able to identify. We have ourselves had issues were it the event hub had not been registered correctly, something MS identified and corrected in short order.

    Hi Craig, thank you much for the information and suggested work around.  I implemented a step in the workflow that updated the regarding record, but still no joy.  The notes and attachment do not become available for ~5min or longer.

    I'll continue to drive the issue with Microsoft and update this post with pertinent information for the community.

    Tom, one other thing came to mind, what entity are you using? If it is a custom entity double check that Change Tracking is enabled. MS probably already had you check this but just for good measure one additional thing to check...

    Craig, thanks for the follow up.  I did confirm that this setting was enabled prior to contacting Microsoft.  We are working with OOB entities, so they Change Tracking was enabled by default.

    Just wanted to provide some additional information in regards to this issue.

    We have been working with Microsoft for for the last several weeks.  After considerable back and forth, Microsoft has stated that an acceptable expectation is for sync of data between D365 and Portal is 15min.

    We've asked for documentation stating this but have been told that no public documentation is available.

    Just curious if anyone else has had experiences where changes to a record in D365 are not available to that record in the portal for a considerable amount of time.
