Syncing historic emails between outlook 365 and dynamics CRM

Hi,

My business has recently moved to Dynamics CRM from another system.

I am currently working through a number of issues.

One question I have is how can I sync my historic emails made in Outlook with Dynamics CRM?

For example for a specific contact that I had many interactions with, I would like to see (and enable my colleagues to see) that historic interaction.
At the moment all we can see is the interaction / activity since we implemented CRM.

Thanks,

Peter

I assume you have the MS CRM Outlook Plugin installed.

Move your archived emails to your Inbox  and then you can either track the emails individually or if your setting is to sync all email then it should automatically promote the emails to CRM.

    Thanks.

Yes, I have the MS CRM Outlook Plugin installed.

I also have all of my emails in my inbox (not archived) but the CRM system has only taken emails sent since we started using it.

Maybe there is a trick to making this work?

    Hi Sensianp,

There are settings which are in user's personal settings and see if any of the other tracking option such as ""All email messages" are selected instead of 'Email messages in response to CRM email"

Also, try and look for the folder tracking which will help you to track all the emails for a specific customer as the folder tracaking i.e. batch instead of individual tracking... see link below

    Hi sensianp

You can follow Faisalk suggestion and after the settings you can also do manual sync by clicking on the sync button

Pls mark as verified if this solves ur issue

    Thanks Faisalk.

I already have the email set up to track all email addresses.

But this only tracks any emails that were sent since we started using CRM.

I need to have historic emails tracked in CRM.

For example I have a contact I have been working with for 4 years, I would like to be able to see that historic correspondence.

Folder tracking doesn't seem to be relevant for this.

    Hi Mac,

How do I do a manual sync?

What is the synchnoization method for incoming mailbox and are you using D365 Oulook or SSS ?

The other thing to look as

option 1: set forward mailbox and forward all those historic emails to that mailbox which means you will have all the emails sync

Option 2: manual as select the email and set the 'set regarding' to contact or account to track those in CRM, but best would be to categorise the email by contact or account and then do the folder tracking

If i am not wrong button should be under the CRM tab in outlookout36.png

No, this is a old version of outlook. It seems that in Outlook 2016 Microsoft have taken out manual syncing.

I'm not sure what you mean by forward mailbox, assume if I did manage to do this then the dates of the original emails would not carry over.

option 2 would require me going through 1000s of emails and assigning them to the contact/account.

It's a real shame that Microsoft has not thought this would be a necessary function of CRM and just make it easy to do it.

Surely there should be a simple way to specify what date you want the synchronisation to start with?

    Thanks for your help anyway.
