Import Text Field to Notes/Post Area with Contacts

Hi

Im importing contacts from a SharePoint list into Dynamics.

Im starting first by customising the contact form to include all the fields I need.  After that I will export the XML import template sheet from Dynamics and align my data up to the columns.

However one thing I'm unsure can be done, and if it can how it can be done, is importing a text field into the notes or posts area of Dynamics.

In SharePoint we have a free text field that was used for notes on each contact. I would like to try and import that text field into Dynamics and have the data show in the either the posts or notes area of the contact.

Can anyone let me know if this is possible and how to achieve it?

thanks

You can import to the Notes entity just like any other. In the Data management area, under templates there is one for Notes. The caveat is that you'll need to add a column to map to the record (Contact) you need to relate it to. This would be the regarding field and you could map the the Contact name (if unique) or another value.

    Thanks Jason.

I can see the note export template.  I grabbed that then added in a new column (Contact) to the XML file. I filled in all the details to test then went to import.

The import then asked what field to map the new contact field to.  I selected "Regarding (Lookup)" and then in the lookup reference ticked "contact" entity and the "full name" field.

But it doesn't seem to import the note, never mind append it to the contact.

The error log is saving "the reference to the attachment could not be found"

Am I mapping the fields wrong?

    Ahhh!! I'm getting somewhere!

What was throwing me was there is a column in the notes area that is called "file name". I thought that was the title of the note. Turns out its a file name of an attachment that is being imported. So when I was entering a name it was looking for that attachment!

My next question would be on how to ensure the note is attached to the right contact if two contacts have the same name?

At the min I have just one column in "contact" which i have entered in the contacts full name.  I could add in a company/account field, but I know I am only able to to do a regarding lookup once. So not sure how I could do that?

Also we havent imported the contact data yet, so would it work in reverse if I add in a notes column to the contact xml sheet and then on importing tell that to lookup notes? that could then append the notes to the right contact as well as making it easier to do a mass import
