Sales Order are not Archived

We want to archived our sales orders.

When a new sales order is created and release it is not archived.

When Posting the Shipment or making the invoice it is archieved. However this does not provide us with the possibility to track changes on dates, qty etc for the order, up until the order is actually shipped

On the Sales & Receivables Setup, we have setup the below.

We can make the archive manually, however we do not want the users to have to remember to manually archieve the order.

Furthermore the sales order line is not archived with shipped qty and invoice qty when making the post ship & Invoice in one step.
When Posting Ship it is not showing shipped qty on the archived line.

When making the post invoice afterwards it is archiving the line on the correct for shipped qty and invoice qty

    Sales Order are not Archived
    Hi,

If I understood correctly, there are four options like I know:
    • Change Log

      • Enable Change Log to track changes to fields like quantities, dates, or prices.
      • Go to Change Log Setup, add the Sales Order table, and mark fields you want to monitor.
    • Approval Workflow

      • Implement an approval workflow to lock sales orders after they are approved.
      • No changes can be made once an order is approved and set to Released.
    • Blanket Orders

      • Use Blanket Orders as a base for creating sales orders.
      • This ensures consistency in details like pricing and quantities, minimizing manual changes.
    • Custom Automation (AL Code)

      • Develop a custom AL extension to trigger automatic archiving when the status changes (e.g., upon releasing the order).
Let me know if you need assistance with any of these options!

There are three actions that will archive a document:

    1. You print the order

    2. You post the order

    3. You manually click on the Archive action in the order.

Based on your requirements, a user can manually click 'Archive' whenever an order needs to be archived. However, since as you mentioned users may not always remember to do so, the system can be customized to automatically trigger the archiving function at key steps, such as before posting an order.
