Remove Export functionality from SmartList

Looking to see if there's a way to remove/limit users that can export SmartLists to Excel.  Using Modifier I removed the Excel button on the SmartList window, however users can still go SmartList in the file menu and then choose Excel.  Seems like there should be a way to limit this functionality so that not everyone can easily export data.

    Why are you trying to remove this functionality? Is it for security purposes? You made the comment so that "not everyone can easily export data".

    Please give further details for your reasoning. I agree that exporting to Excel from Smartlists isn't the most efficient way to get the data because that functionality is pretty slow and there are much better ways to get the data you want.

    If security is the issue then that should be controlled through User Security.

    Yes it's for security purposes.   I want the users to be able to pull a list of items in SmartList I just don't want them to export that list to Excel.

    I haven't tested it out but you can probably throw in a VBA script to take care of it.

    If you don't know how to do it I would tread lightly in a test environment until you're comfortable with it but I would try the following.

    1. Tools >>customize >> add window to Visual Basic

    2. Tools >> customize >> add fields to Visual Basic and then select the Excel button

    3. Tools >> customize >> Visual Basic Editor

    then navigate to the excel button through the object tree and try the following:

    Excel.Enabled = FALSE

    if it works then it will remove the button permanently, not just for a single smartlist.

    Again though, I'm not sure why you want to restrict the export button because if they have access to the smartlist and its a canned report then there's a high probability that the smartlist is also an SSRS report or a published excel refreshable report which would defeat the purpose of this exercise.

    Does disabling the button also kill the ability to go to Excel from the menu? They could still print the thing to a delimited file that would open in Excel; this is a tough one.

    Good point Leslie, I didn't think about that. Yea, this is a tough one.

    David do you mind I ask why you're trying to limit the users like this? Is this a compliance/security issue you're trying to solve. For instance a HIPAA related scenario where you're trying to limit the amount of risk of data exposure?

    In the past I've worked in the HealthCare industry and they had a pretty extensive customization built into GP that would contain possible HIPAA related info such PII and PHI which can cause some nasty headaches for a corporation if that information were to get out.

    But if that's the case, you wouldn't even want the user to print a document, I might be rambling but I'm just trying to wrap my mind around the purpose of this?

    It's a difficult task because of all the loopholes that can by-pass the preferred outcome and the fact that GP isn't designed for this type of situation, at least not out of the box.

    I already removed the button from the window for Excel, Word, and Print but the users can still go to the menu at the top of the window (File, Edit, Tools, Etc.), click Smartlist > Excel or Word or go to File > Print.

    My question is does anyone know if that menu can be modified using Modifier?

    As far as SSRS reports and Excel Refreshables the users don't have access to those items.  Also the users don't have access to other canned reports that might give them a list of customers.  There's no HIPAA or other legal reason.  It's as simple as the owner doesn't want the sales reps to be able to pull a list of customers and orders if they decide to leave the company.  I work with both Dynamics CRM and GP and in CRM this is an easy thing, you just un-check a box for export.

    Anyway back to the question at hand, once the buttons are gone does anyone know if there's a way to get rid of the File, Edit, Tools, Etc. Menu from the top of that window or to modify the options within each?

    The only way that I know of to do this is using Dexterity.
