RENTAL/LEASE MANAGEMENT

Hi Community,
 
Working on a project in which client do sale & purchase of Vehicles but sometime they offered vehicles on lease or rent. Can anyone suggest me how we can handle this to cover monthly installments and expenses occured on maintenance. Is there any app on appsource to handle scenario or any out of box functionality.

    Hi,
    Since its out of the box functionality but to manage the Monthly installement and expenses you can use the "Recurring General Journals" standard functionality please have a look.

    For scenarios where vehicles are sold, purchased, leased, or rented, standard BC doesn’t provide a full out-of-the-box leasing/rental module. Sales and Purchase orders cover basic buy/sell transactions, but monthly installments, recurring lease charges, and maintenance costs need additional handling. You can configure recurring sales invoices for installments and use jobs or resources for tracking maintenance, but this is limited. The recommended approach is to explore ISV apps on AppSource specifically designed for vehicle leasing, rental, or fleet management, since they include features for contracts, recurring billing, and expense tracking. If the client’s requirements are complex, an industry-specific app is the most practical solution

    If you only need something simple, you can use standard BC. Create your rental units as Items and set Inventory Value Zero to Yes on the item card so invoices/shipments post with no COGS.
     
    Ship the item on a Sales Order when it’s rented, then add separate lines for the rental fees or installments. Use Recurring Sales Lines for the monthly installments to generate those invoices manually or automatically. If you need more functionality that this, you’ll need a third-party rental module.

    Hi,
     
    Business Central has no out-of-the-box lease/rental module. You can either:
    Use an AppSource extension such as Binary Stream Property & Lease Management, OneCore Lease Management, or EQM 365 Rental for contracts, installments, and maintenance tracking.
     
    Build a custom solution with rental/lease tables, scheduled installment lines, maintenance cost tracking, and integration with AR, G/L, and Fixed Assets.

    In Business Central, handling vehicle sales, leases, or rentals can be approached in a few ways. For standard sales and purchases, you can continue using Sales Orders and Purchase Invoices for vehicles sold or bought. For vehicles offered on lease or rent, you can use Recurring Sales Lines or Recurring Journals to post monthly installments automatically, while maintenance or service costs can be tracked through Purchase Invoices, preferably linked to each vehicle using Dimensions or Fixed Assets to monitor revenue and expenses per vehicle. If the vehicles are company-owned, recording them as Fixed Assets allows you to track depreciation, maintenance costs, and lease income systematically through FA Journals, enabling detailed reporting on profitability per vehicle. While some of this can be handled out-of-the-box with standard BC functionality, a more comprehensive solution—including automated contract management, installments, and maintenance tracking—is often better addressed using third-party apps from AppSource, such as “Lease Management,” “Fleet Management,” or “Rental Management” apps that integrate seamlessly with Business Central. This combination of standard BC features and specialized apps allows full tracking of lease/rent income, expenses, and overall vehicle performance.

    I worked for about 12 years in the rental industry and spent 4 years in my spare time building the sort of rental system I'd have wanted to use in Business Central.

    Business Central doesn’t have strong out-of-the-box support for rental/lease scenarios, especially for things like contract lifecycle, recurring billing, and maintenance tracking.
    For BC specifically, most companies either:
    Customize using recurring journals/subscriptions
    Or use AppSource add-ons designed for leasing/rental
    If leasing is a core business process, many organizations actually move this workload to Dynamics 365 Finance & Operations, where more mature solutions exist. For example, solutions like RealEstatePro (Dynamic Netsoft) are built on F&O to handle lease accounting, billing cycles, and asset/property management at scale.
    So it really depends on your complexity:
    Basic → BC customization
    Advanced → ISV or even moving to F&O

    Hi,

    Business Central (and NAV) doesn’t have full lease/rental management out of the box, but you can still manage it in a basic way.

    For simple scenarios:

    • Use Recurring Sales Invoices for monthly lease billing
    • Use Fixed Assets to track vehicles and depreciation
    • Record maintenance expenses through General Ledger

    This works if leasing is only occasional.

    If leasing is a key part of the business, it’s better to look at extensions on Microsoft AppSource or industry solutions.

    For example, solutions like Annata 365 are built specifically for automotive and rental businesses and can handle contracts, billing, asset tracking, and maintenance in one system. These kinds of solutions manage the full rental lifecycle including booking, invoicing, and service tracking .

    You can also work with partners like Dynamic Netsoft who provide customization or industry-focused solutions based on your requirement.

    So overall:

    • Small requirement → standard features are enough
    • Full rental/lease business → go for an AppSource app like Annata or a partner-led solution
