Changing the Global Dimension 1 and 2 in Business Central

I would like to confirm whether it is advisable and feasible to change the existing Global Dimensions setup in Business Central.

Currently, our company uses:

  • Global Dimension 1: Department

  • Global Dimension 2: Category

Management is considering updating this setup as follows:

  • New Global Dimension 1: Branch

  • New Global Dimension 2: Department (previously GD1)

  • Category would no longer be a global dimension, but used as Dimension 3 (custom or shortcut).

I have a couple of key questions regarding this change:

  1. If we change Department from GD1 to GD2, and Category from GD2 to a non-global dimension (e.g., a shortcut dimension), will the dimension values in existing posted transactions be retained and correctly reclassified under the new setup?

  2. Specifically, will the system automatically update the historical data and dimension entries so that Department and Category continue to reflect accurately in reporting, even after their positions in GD1/GD2 are changed?

  3. Are there any functional or reporting limitations we should be aware of after reassigning global dimensions. Please advise on the best approach to proceed with this change and any precautions or preparatory steps we should take.

    Hii there ,
    as per requirement we can update that through just value update Dimension IN business central there is dimension correction tool is available, you can check that But IF You want to update the dimension you need to take backup first then need to check all the tables which will be flown the data and update that using Batch Job to update that data .
    for that you need to update The Master Tables, Document Tables, ledger tables, Other Related tables .
     
    and in that check that data will be not mess.

    1. Will existing posted transactions retain their dimension values correctly after changing GD1 and GD2?

    If you change the GD1 & GD2 and Run the Change Global Dimension Batch job on your historical transaction now you will be able to find the new GDs and as you mentioned Category if you define it on Shortcut dimension that you will not be able to track as a global dimension and not have a flow on all transactions.

    2. Will the system automatically update historical data and reporting after GD positions are changed?

    Business Central does not automatically update historical records to reflect new Global Dimension positions. You must run the standard Change Global Dimensions batch job available on General Ledger Setup, which updates all relevant ledger entries and tables to reflect the new GD1 and GD2 setup, ensuring consistency in financial reports like Trial Balance by Dimension.

    3. Are there functional or reporting limitations after reassigning global dimensions?

    Yes, only Global Dimensions 1 and 2 are available in key reports, filters, and analysis views by default. Moving a dimension like Category to a shortcut dimension limits its use in standard financial reports. You'll need to rely on custom reports, Analysis Views, or Power BI for detailed reporting on non-global dimensions.

    Also, Consider below points:

    A. Back up the database completely.

    B. Test the Change Global Dimensions batch job in a sandbox.

    C. Schedule a time window in production for the process (could take hours).

    D. Inform all users, especially finance/reporting teams, about the impact.

    F. Review custom reports, integrations, and Power BI dashboards to adjust filters based on the new dimension structure.

    Changing Global Dimensions in Business Central is feasible but requires caution, as the system does not automatically reclassify historical data when dimensions are reassigned.
     
    While existing dimension values remain intact in posted transactions, reports relying on Global Dimensions may show inconsistent results unless you run the “Change Global Dimensions” tool to reindex data.
     
    Moving a dimension like Category to a shortcut dimension is possible but may impact reporting performance.
     
    It’s essential to back up your environment, test changes in a sandbox, and review all reports and analysis views before proceeding.

    Changing the global dimensions are quite safe.
    When you change it, BC will try to update related field.
     
    The only issue is on customisation and third party system. Depending on how the customisation was developed and how you send/receive data between BC and third party system, you might need to change the logic. 
     
    Try it in sandbox first to be sure.

    Hello,

    Performing dimension modification has been a regular process in business central. The update will cover the whole process of updating historical data.
     
     
    It is important to consider that when changing the global dimensions 1 and 2, take into consideration the global dimension 3.
     
    I recommend performing the change in a TEST environment to ensure validation and data security.

    Hi Revan,

    That’s a solid question. Yes, you can change Global Dimensions in Business Central, but it's definitely something you want to plan carefully.

    When you use the Change Global Dimensions feature, it updates all the posted entries with the new setup. So in your case, if you move Department from Dimension 1 to Dimension 2, shift Category to a shortcut dimension, and make Branch the new Dimension 1, the system will retain the values—those don't get deleted or lost. What it won’t do automatically is update your reporting structure, especially if your reports are built around GD1/GD2 filters. That part may need some adjustments after the change.

    Just a heads-up: the update process can take a while depending on how much data you have. If you're working with a large volume of entries, try using the parallel processing option—it’ll speed things up a bit. And as always, best to take a full backup before starting, just in case you need to roll back.

    Here’s a quick guide to get it done:

    1. Go to General Ledger Setup
    2. Choose Change Global Dimensions
    3. Pick the processing mode—sequential or parallel
    4. Let it run, then double-check the entries and reports afterward

    We have a standard process to do, so system will take care of the mandates and from data integrity.
     

    When you do, the system will update past entries so that values like Department and Category still show correctly in posted transactions. However, after the change, only the new Global Dimensions (Branch and Department) will be the easiest to use for filtering and reporting. Category will still be there, but since it becomes a shortcut dimension, it might not show up in all standard reports—you may need custom reports or analysis views to see it properly. Before making any changes, test everything in a sandbox, back up your data, and check your key reports to make sure they still work the way you want.
