Is it possible to monitor/log security role assignments to users??

For example:

A workflow monitors the deletion of certain entities. It creates a log of these.

The system admin role is the only role with delete privileges on the log entity.

How do i monitor the assignment of sustem user roles to enable logs/ alerts when a user is awarded the system administrator role?

    Hi Karanja,

You have a few questions in there.

CRM 2011 has built in auditing so you can log when ever a user modifies any field.  CRM 4 does not have it built-in, but there is a solution available for free that enables this.

For monitoring deletions you can either use the auditing mechanism OR you could create  a workflow that runs automaticaly on deletion and notify someone.

    Hope the above helps.

Currently limited to CRM 4 on this site.

With the crm audit plugin i cant seem to trigger the creation of audit logs with the changeing of roles or managers or business units.

Are there any messages specific to this actions??

    Hi Karanja,

Specifically, you are seeking a way to track and create logs or alerts when a user is assigned the system administrator role.

As you mentioned, creating a workflow is the existing solution but not 100 % feasible to your requirement. Instead, you need to integrate monitoring and tracking solutions in your CRM which will keep creating logs of activities done by the user in the environment.

You can try the User Adoption Monitor app by Inogic. This app audits the actions performed by enabled user roles in Dynamics 365 CRM, covering common operations such as Create, Upload, Assign, Delete, Read, Qualify Lead, and Win on a daily, weekly, and monthly basis. It also tracks the time users spend in CRM and on each entity's records. All tracking data is available to administrators and managers in the form of detailed logs.

For example, Mark, the sales manager at Cortana Company, wants to track daily actions related to the Account Entity.

Sam, a CRM user, wants to create a new account. To do this, he will click the "New" button, enter the necessary account details into the form (ensuring all mandatory fields are completed), and then click the "Save" button.

Once the User (Sam) creates a new Account, the tracking details will be displayed under the Entity Configuration tab of the User Adoption Monitor for Mark as follows.

You can also monitor user activities across various entities, assignments, and actions. The dashboards in User Adoption Monitor give managers detailed insights into user actions by entity, action, and period, enhancing user adoption of Dynamics 365 CRM and preventing unauthorized access.
Additionally, the 'Target Tracking' feature in User Adoption Monitor allows for assigning and tracking user targets within Dynamics 365 CRM.

You can install the app from the Inogic Website or from Microsoft AppSource for a free 15-day trial to evaluate its functionality, or you can schedule a demo to see how it works.

For more information, please contact at crm@inogic.com.

    Thanks,
    Sam
