How to use Record-based security on attachment file

Hi everyone,
I have a difficult case from my customer, I need a solution to manage their contracts
Business: they have many contract types and many contract’s term in each contract (contract’s detail). Both of contact general and detail have not standard form. They need to secure on contract and each contract’s detail. 
Ex: Contract A
Term 1: attach file A1
Term 2: attach file A2
Suggest solution:
1. I will create a new entity to manage contract general. It’s ok. 
2. I will attachment file to mange contract’s detail (user will attach file an secure on that). 
We have 2 solutions for No.2
• Solution 1: Using Note function to mange attached file. But there is problem about security on Note beacause Note function is used in other entities (maybe it not positive)
• Solution 2: customizing form Sales literature and using sales attachments to save contract detail. But there is trouble when I use Record-based security per each record within including attachment. In Sales Literature, it just permit user create, read, write, delete, append, append to, assign, share with full role without 1/4, 1/2, 3/4. Anyone can give me some solution to solve this case.

    Hi Pha, Thank you for reaching out. The Sales Literature entity is owned by the Organization not an individual or team, that is a setting you can't change, and limits you to full or none for security roles. When you create the new entity you will be able to select owned by organization or User/Team, make sure to select User/Team to enable granular security roles.

    For the attachments, I have used Notes before but they are difficult to report on. As you identified you cannot differentiate Notes from other note records within security, for example if I have read access to Notes, I can use advanced find to read all notes regardless what they are regarding.

    The best way to provide granular security for attachments is to use the SharePoint integration. That is very easy to implement, and offers a lot more versatility with document management. There are even SharePoint workflows to improve contract document management meeting other needs your client may not know were possible. While they are focused on always closing, you should focus on always bringing solutions. Especially to the ones they don't see coming.
