Users can't see the Excluded members list

Hello there,

Actually I have an issue with my users, the maximum access that the security role grant to each of the users is for the Parent: Child BU.

My users are able to see and open the quick campaigns created by them and for others users in the same BU, however after open the Quick Campaign, they can't see the list of Selected Member and the they can't see the list of Excluded Members.

The only way that I find till now to they can see both list is increasing the access level to Organization for the read privileged in the Activity Entity.

As I can see there is a bug in the access levels to the information or I miss something in the configuration of the SR.

Could you be so kind to tell me how I can do to my users can see both list with the right access rights?

There is an entity where this information is stored?

Thanks in advance.

    Hi Victor,

Members are based on the Targeted At attribute (Contact, Account or Lead). If the users do not have security role privileges to one of these entities that you are setting up the marketing list on, they will not be able to see the Selected/Excluded Members.

    Thanks,

    Akhil

Hi @akhil, you are right in your affirmation. however, this is not the case. My Security Roles are configured to grant the access to the users as maximum to the Parent: Child BU. So the Users with my SR for marketing can see all the accounts + contacts + leads + Opportunities in the system since they are allocated in the top BU of the system.

When this users create the marketing list, they can see all the accounts + contacts. however after create the campaign activity they can't see any record in the member list or even in the Excluded members.

The only way I find till now to grant the access is to rise the Read Privilege of the Activity entity to Organization.

    Thanks.

I can understand that your security roles have Parent:child BU access for all entities but for cross verify please login with System admin and check that BU of quick Campaign owner and Selected members owners are same.

If not, Then you can increase access level as per your requirement

Hi Rocker, the Owner of the Quick Campaign are in the same BU as the most of the members owners, the others members owners are in child BU's.

Increase the access level is not an option for us.

This is a bug in the system? do I need to report this to Microsoft?

    This is not a bug.

You have to design your security roles as per your requirement.

Sorry Mr. Rocker I need to disagree with you.

Do you read all my comments? do I explain me correctly?

My security roles are correctly designed. My users can see the Accounts and the Contacts and they can edit them. When they create the Marketing List, they are able to add the Accounts and the Contacts, and they are able to create the Quick Campaign Activities without problems, the issue is after create the Quick Campaign Activities, because they are not able to see the Selected Members list and the Excluded Members list.

If I increase the read privilege to the organization level (actually have the Parent: Child BU) for the entity Activities, they can see the information for both lists.

So this looks like a bug with the Security Roles / Activities / Quick Campaings

If not could you let me know how can I restrict my users to only see the information where the owners are in the Parent: Child BU only?

    Thanks.

    Hi Victor,

I did a quick try of this i.e. created a quick campaign from admin user, login with a user which has parent:child BU access on activity entity. The records were visible as expected in both Selected & excluded list. Though I only have just one BU so not sure if this is related.

If you think this is a bug, the easiest way to find out is to replicate it on some other organization without any customization. If you are able to replicate then it is a bug otherwise not. In any case, you can reach out to Microsoft Support and ask them to confirm if this is a bug or something related to just your instance.

You can log a ticket from here - https://admin.dynamics.com

    Hope this helps.

    Hi Mr. Ravi,

In your case will not work since you only have one BU.

I did what you suggest. I create a new SandBox organization without any customization. Guess what?. I have the same issue there. I only create a dummy structure for the BU and some dummy data.

This is even worse, The security Role grant access to the entity through the configuration between the privilege and the level (Organization, Parent: Child BU, ...), right?

So guess what, my security role grant access to see only the quotation for the Parent: Child BU. Even with this configuration if another user in a higher BU or in the same level create a Quote for an Account/Contact where the owner of the Account/Contact is in a lower BU. This user Owner of the Account/Contact is able to see the Quotation.

Is like the Quote is automatically shared with the owner of the Account/Contact. however in the Shared I can't see any sharing information for that quote.

    Strange ..... o.O

Where exactly do you see the Quote record, is it on the main quote entity view or you see it in a subgrid on account/ contact or a related/ associated view? Do you see that record using advance find?

Based on your findings it does look like a bug. I will see if I can replicate the same but it would be worth for you to report this issue with Microsoft.

    Hi Mr. Ravi,

My users are able to see it the all the places (advanced finds, Sub-Grids for Accounts and Contacts and directly in the Quotation view).

I'll be in contact with Microsoft, thanks for your time.
