Duplicate Detection Job

Hi Everyone,

I have several contacts with the same full name. Is there a way to mark them as not duplicates to avoid having them in report every time the duplicate detection job is running?

    Morning BobbyC,

    Have a look in Settings, then Data Management, then Duplicate Detection jobs.

    It may potentially be that you have a rule set up in there that you could remove.

    Hi ,

    As your Duplicate detection rule is set on the name field, it will show them as duplicate.

    instead you can use duplicate detection rule on other fields, such as Email address, Phone number. or any other fields which will be unique for each records.

    Hope this will solve your problem.

    So nothing can be done to avoid having these records on the next report but to remove the rules(first and last name match in this case)?

    Hi Yes in this case.

    The rules are doing the job.

    You can apply the rules to more unique fields like Email address, Phone Number.

    or any other fields in your system like ID Numbers.

    Just to piggy back of Vinod's suggestion. I would potentially look to remove that rule to prevent the error. Using email address can be handy but it can give issues if multiple contacts try using the same email address like info@domain.co.uk or something generic.

    ID numbers are great but I would probably recommend getting rid of that rule. You could end up having multiple John Smith's for example.

    Thank you Andrew for your suggestion. Unfortunately we have several forms and landing pages to collect leads and it happened several times to have the same person registering with a different email address(not realizing probably they are registering for the same company). In this circumstances, even if first and last name will not be very accurate, we will need to keep it.

    I would recommend deleting the rule, I don't believe the rule offers you any value and it will help with your report.

    Hi Bobby,

    Can you please tell me how you made a duplicate detection job to search based on exact match of first and last name? When I create the rule for the job I need to specify an exact word to search instead of just searching for 'like' names.

    Hi Bobby,

    Thanks for the reply, and sorry for hijacking your topic! I have no issue with setting up a rule, it's the duplicate detection jobs which I'm struggling with.  I've attached a screenshot for reference:

    The reason I want to run this job is we have multiple systems that automatically write information to MS Dynamics. If one of the systems adds a new contact record in the system who happens to be the same as an existing contact I need to be able to run a duplicate detection job that will pick up these matches and notify me.
