Permissions required for sharepoint Integration

Hello everyone,

we implemented a Sharepoint Integration in our CRM 2016 On-Prem.

Which permissions do I have to give my standard user security role (we're not using the default "Salesperson" Security role)

In order to empower the standard user to use the sharepoint integration?

The following TechNet article just states, that you have to give the users the "Salesperson" Security Role. That's not what I want to do.

Thanks in advance for any help given.

Best Regards,

Daniel

    Hi Daniel,

Based on my understanding from this URL:

    technet.microsoft.com/.../dn531196.aspx

    "Security roles: Salesperson

SharePoint site permissions: Read, Append To

SharePoint Document Location permissions: Create, Read, Write, Append, Append To"

It seems you just need to give these permissions:

SharePoint site permissions: Read, Append To

SharePoint Document Location permissions: Create, Read, Write, Append, Append To

Then if you don't use that security role, you can just use yours, but provide the access for above entities.

    Hope this helps.

    Thanks.

    Hi Daniel

There is a good tool that will replicate the CRM Permissions in Sharepoint - this video will explain how any why to do so

Also check the security role has this permission

    Hi Daniel

There are other challenges around replicating security rules in CRM to your SharePoint site. I provide details on this in my Pluralsight course on integrating Dynamics CRM with SharePoint.

    All the best

    Hi Daniel,

I too am looking to role out SP integration to our D365 on-prem environment. I am just at the point of playing about with Sec Roles to make it work. The biggest challenge we had however was around maintaining the security around our Opportunities. We manage this in D365 with business unit teams and have all opportunities owned by a Team via a workflow, never a user, but need to have the same in SharePoint for the corresponding documents. I know there are tools out there but we have Nintex workflow add-in to our SharePoint 2013 on-prem environment. I have used a Nintex workflow to run a simple SQL query against the D365 db to get the names of the owning team members and to create a new permission group to add them to in SharePoint and secure that Opportunity folder to that group. I am planning to write a blog on CRMUG community site as for on-prem deployments its a good option vs paying for another app to do it for you, and you can then totally control what its doing to suit.

Thanks for the other repliers to this thread for advice on permissions needed, I will try to remember to re-post any other findings I come across when setting this up in out system.

    Hi 1Robin

What you have described is the biggest issue with the out of the box Sharepoint integration. I'm surprised Microsoft hasn't added any solutions for this.

In my previous company we wrote a lot of custom code to deal with this issue. I have come up with an alternative that is MUCH simpler and doesn't require any code.

I go through it in my course on Pluralsight

    https://www.pluralsight.com/courses/integrate-dynamics-crm-2016-sharepoint

You can view it for free if you take the 3 month free trial from the Visual Studio website https://go.microsoft.com/fwlink/?LinkID=328777

The module is called "Securing Your Integration"

I haven't looked at this for 2 years so I am going by memory that the use case I solved was the same :)

I can confirm this is still an existing problem. The SharePoint permissions (SharePoint 2010, 2013, 2016, 2019 / SharePoint Online) will allow anyone to see any document on the SharePoint side, regardless of the permissions on the CRM side (Dynamics CRM 2011, 2013, 2015, 2016,  Dynamics CRM Online, Dynamics 365 Sales,  Dynamics 365 Customer Service,  Dynamics 365 Field Service).

The best solution that I know of for this problem is CB Permissions Replicator. If you want to more on how this works exactly, there is some more info here https://www.connecting-software.com/blog/microsoft-dynamics-365-privileges-sharepoint-permissions-replicator/
