Suggested Answer

approval of workflows

We have multiple emails sent for a workflow approval. In order to not force everyone to approve it, in the Approval User Groups we must answer " NO to All Must Approve".
The problem is that I cannot find "NO" anywhere. How do we avoid forcing everyone to approve?

    Hi,

If I am understanding correctly, you are wanting the approval to go out to multiple people however want it to be a situation where not everyone needs to approve just whoever get to it first correct?

If that is the case the best way to approach it is via the sequence number in the workflow user groups.

You can use the sequence numbers to specify who needs to approved and in what order, and multiple people can share the same sequence number so only one of the people assigned in that sequence need to approve.

For example if you had a workflow user group with 3 approvers in it, and set User 1 and User 2 to Sequence No. 1 and then User 3 to Sequence No. 2 then for the approvals both users in Sequence 1 would get emails to approver however after just one of them approves it would then move to Sequence No. 2 and email User 3 letting them know its their turn to approve. You could also set all 3 users to Sequence No. 1 and then the document would be approved if any one of them approves it.

If you are using standard out of the box BC workflows you will need to make sure to modify the workflows themselves. I haven't tested this approach in practice but in theory it should work.

You will need to look at the Pending Approval steps. If you have Pending Approvals set to release the document when Pending approvals is equal to 1 less than the total number of approvers you can have it release at that step. See a screenshot of a standard approval and where you would need to modify it:

The image above is built on the assumption you'd have 2 approvers for this workflow but just 1 needs to approve it.

You would also have to make sure this goes to a workflow user group where both approvers (or more than 2 approvers) all receive it at the same point.

    Hello,

There is no “All Must Approve = No” toggle — it’s controlled by the Sequence No. in the Workflow User Group. If all approvers have the same Sequence No., only one of them needs to approve for the workflow to continue; if they have different sequence numbers, approvals happen in order and each level must approve. So to avoid forcing everyone, just assign the same sequence number to those users.
